Job Title: Community Manager – Co-working Space
We operate a premium boutique co-working space in Pune — designed around biophilic interiors, hospitality-first service, and a curated community of professionals, founders, and small teams. With up to 50 seats across dedicated desks, private cabins, and meeting rooms, every detail in our space is intentional and every member interaction matters.
We are scaling operations and looking for a sharp, hands-on Center Operations Executive who takes complete ownership of the space and is proud to maintain a standard that rivals the best managed offices in the city.
THE ROLE
This is a high-ownership, execution-focused position. You will be the single point of accountability for everything that happens on the ground — from the morning inspection before members arrive, to the end-of-day report submitted to the Space Head. You will directly supervise housekeeping, pantry, and facility staff; track daily billing and payments; manage vendor schedules; and ensure every zone of the center reflects a premium, always-ready standard.
This role is NOT for someone who wants to manage from a desk. It is for someone who takes pride in a spotless space, a smoothly run pantry, and a member experience that consistently exceeds expectations.
Key Responsibilities
· Conduct a full space inspection every operating day; ensure all zones, meeting rooms, washrooms, and common areas meet premium presentation standards before the first member arrives.
· Directly supervise housekeeping, pantry, and facility support staff; brief staff at shift start, assign zone responsibilities, and conduct quality spot-checks at least three times per day.
· Manage pantry and coffee bar stock levels daily; check against par levels each morning, place restocking orders proactively, and ensure zero stock-out incidents during operating hours.
· Track daily billing payments and update member payment status in the CRM; manage petty cash with daily reconciliation; assist with vendor invoice verification and raise consumable procurement orders.
· Maintain a live maintenance and vendor tracker; schedule and attend all AMC service visits; follow up on every open ticket until resolved; escalate unresolved items in the daily EOD report.
· Prepare and submit a daily end-of-day report to the Space Head by 8:30 PM — covering space condition, visitor log, payment updates, maintenance tickets, and member feedback.
· Support occupancy by conducting client space tours; ensure the space is always tour-ready and prospects receive a warm, knowledgeable first impression.
· Oversee front office, housekeeping, pantry / F&B operations, security, maintenance, and facility management functions.
· Build and maintain relationships with members; handle member escalations and resolve operational issues in a timely and professional manner.
· Develop and foster community by supporting member events and engagement initiatives.
· Manage vendor relationships and service contracts; ensure compliance with agreed SLAs.
· Prepare weekly reports on occupancy, member retention, and operational metrics for the Space Head.
· Ensure compliance with company policies, safety regulations, and statutory requirements (fire safety, FSSAI, etc.).

Qualifications
● 4-7 years of experience in co-working spaces, serviced offices, hotels, facility management, or real estate operations.
● Graduates / diploma holders in Hotel Management, Business Administration, Facility Management, or any related field.
● Basic proficiency in billing or accounting tools — Tally, Zoho Books, or MS Excel — for payment tracking, petty cash, and basic reconciliation.
● Strong attention to detail; ability to maintain high presentation standards consistently across all areas of the space.
● Good communication skills in English; working knowledge of Hindi and / or Marathi preferred.
● Pune-based candidates strongly preferred (local knowledge of vendors and contractors is an advantage).
Good to Have
● Prior experience in housekeeping supervision, pantry / F&B stock management, or vendor coordination.
● Familiarity with CRM tools or facility management software.
● Experience working in a premium / luxury environment (five-star hospitality, luxury real estate, or high-end managed offices).
● Candidates with a "space owner's mindset" — someone who treats the center as their own and is visibly proud of how it looks and operates.
Pay: ₹25,000.00 - ₹35,000.00 per month
