About the Role
We are looking for a friendly, organized, and proactive Front Desk & Administration Executive to join our team. This role is ideal for fresh graduates or candidates starting their careers who are eager to learn and grow in administration, HR, and accounts support. The successful candidate will be the first point of contact for visitors while providing day-to-day administrative support across multiple departments.
Key Responsibilities
Front Desk & Reception
Welcome and assist visitors, clients, and vendors in a professional manner.
Answer, screen, and direct incoming phone calls.
Maintain the reception area to ensure a clean and professional environment.
Handle incoming and outgoing mail, courier services, and deliveries.
Manage meeting room bookings and coordinate visitor appointments.
Administration Support
Perform general office administration and documentation.
Maintain office records, files, and registers.
Coordinate with vendors for office supplies and stationery.
Assist in organizing meetings, events, and travel arrangements as required.
Ensure smooth day-to-day office operations.
Accounts Support
Assist in collecting, verifying, and maintaining site engineers' invoices and expense-related documents.
Coordinate with the Accounts team for invoice processing and documentation.
Maintain invoice records and support reconciliation activities.
Perform basic data entry and documentation related to accounts.
HR Support
Assist in preparing and issuing offer letters, appointment letters, and other employee documents.
Support employee onboarding and documentation.
Maintain employee records and HR files.
Assist with attendance tracking and leave records.
Support payroll processing by coordinating attendance and required employee information.
Help generate and distribute salary slips/pay stubs.
Assist HR with day-to-day administrative activities and employee engagement initiatives.
Required Qualifications
Bachelor's degree in any discipline (B.Com, BBA, BA, BSc, or equivalent preferred).
Freshers are welcome to apply.
Candidates with up to 2 years of relevant experience may also apply.
Required Skills
Good verbal and written communication skills in English.
Professional and pleasant personality.
Strong organizational and time management skills.
Basic knowledge of Microsoft Office (Word, Excel, Outlook, and PowerPoint).
Basic understanding of office administration.
Willingness to learn HR and accounts processes.
Ability to maintain confidentiality and handle sensitive information.
Good interpersonal and customer service skills.
Ability to multitask and work in a team environment.
Preferred Qualifications
Familiarity with MS Excel and basic accounting concepts.
Exposure to HRMS or payroll software is an added advantage but not mandatory.
Strong attention to detail and documentation.
