We are looking for a sharp, organized, and tech-friendly Personal Assistant who can help manage the owner’s daily workflow across multiple businesses.
This role is heavily focused on:
- Coordination
- Reporting
- Task management

- Notion workspace management
- Daily operational organization
The ideal candidate should be comfortable working on computers, learning systems quickly, and handling communication between the owner and small operational teams.
This is not a traditional assistant role.
We are looking for someone who can become the owner’s operational support system.
Core Responsibilities1. Daily Owner Coordination
- Manage the owner’s daily task list and schedule
- Organize meetings, reminders, and follow-ups
- Track pending work and ensure execution
- Help prioritize operational tasks for the day
2. Notion & System Management
- Maintain and update Notion dashboards and workspaces
- Update daily trackers, SOPs, reporting sheets, and task boards
- Help organize company systems digitally
- Coordinate reporting structures within Notion
- Ensure team members are updating assigned tasks properly
3. Team Reporting & Follow-Up
- Coordinate with supervisors and small teams directly reporting to the owner
- Collect and consolidate daily reports from different departments
- Prepare clean daily summaries for the owner
- Follow up on incomplete work and pending issues
- Escalate important operational matters quickly
4. Documentation & Reporting
- Maintain reports in:
- Notion
- Google Sheets
- Microsoft Excel
- Organize files, operational records, and task trackers
- Maintain structured documentation for business operations
5. Communication & Coordination
- Handle operational communication professionally
- Coordinate internally with staff and supervisors
- Draft messages, updates, meeting notes, and task summaries
- Ensure information flows properly between teams
