We are seeking a detail-oriented Accounts Payable Coordinator to join our Finance team, with a primary focus on auditing employee expense reports for U.S.-based personnel. This role ensures that all expense submissions comply with company policy, are accurately coded, and are properly documented before reimbursement. Audit employee expense reports submitted by U.S. personnel for accuracy, completeness, and compliance with company travel and expense (T&E) policy.
Review supporting documentation (receipts, invoices, mileage logs) to verify expense validity and proper GL coding.
Identify policy violations, duplicate submissions, or unusual spending patterns and escalate or resolve them appropriately.
Communicate clearly and professionally with employees and managers to request missing documentation or clarify discrepancies.
Process approved expense reimbursements accurately and within established timelines.
Maintain organized records of audited reports to support internal controls and external audits.
Partner with the AP team on invoice processing, vendor payments, and month-end close activities as needed.
Recommend process improvements to strengthen expense audit controls and reduce policy exceptions.
Stay current on company expense policy updates and relevant tax/compliance requirements for U.S. employees.
2+ years of experience in accounts payable, with hands-on experience auditing expense reports for U.S. personnel.
Excellent written and verbal communication skills, with the ability to explain policy and resolve issues diplomatically.
Strong attention to detail and comfort working with high volumes of transactional data.
Working knowledge of expense management platforms (Concur Preferred).
Proficiency in Microsoft Excel; experience with ERP/accounting systems (SAP S4HANNA) preferred.
Solid understanding of U.S. expense reimbursement policies, per diem guidelines, and general AP best practices.
Bachelor’s degree in accounting, Finance, or a related field preferred, or equivalent practical experience.
Experience supporting internal or external audit requests related to T&E.
Familiarity with corporate card programs and reconciliation processes.
Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
