Job Summary
We are seeking a highly sincere, detail-oriented, and dedicated Export Documentation & Office Assistant to support our Export Department and office team.
The ideal candidate should possess a basic understanding of export processes, hands-on logistics coordination skills, and a good command of the English language. You should be highly organized, accurate, and capable of managing multiple operational responsibilities efficiently.
Key Responsibilities & Duties
- Export Documentation: Prepare, review, and maintain critical export documents, including commercial invoices, packing lists, shipping instructions, BL copies, and regulatory certificates.
- Logistics & Vendor Coordination: Actively coordinate with internal teams, Custom House Agents (CHAs), freight forwarders, and transport vendors to ensure smooth shipment execution.
- Professional Communication: Maintain seamless daily communication with vendors, service providers, and occasionally international buyers via professional emails, WhatsApp, and phone calls.
- Record Keeping: Systematically manage and update export records, physical files, and the digital documentation database.
- Accounts Support: Assist the accounts team with basic data entries, record maintenance, invoice filing, and payment tracking.
- Administrative Tasks: Handle daily data entry, routine office work, and provide cross-departmental administrative support when required.
Qualifications & Skills
- Education: Graduate degree required.
- Experience: 1–2 years of experience in an export documentation or supported office role.
- Language Skills: Strong written and verbal English communication skills are essential for corresponding with business partners and stakeholders.
- Technical Proficiency: Solid knowledge of MS Excel, MS Word, Google professional email handling, Google workspace (docs, spreadsheet etc.) and accurate data entry.
- Core Competencies: Exceptional attention to detail, high dedication to accuracy, and a strong willingness to learn and adapt.
