A Front Office Assistant acts as the first point of contact, ensuring smooth daily operations by greeting visitors, managing phone calls, scheduling appointments, and performing administrative tasks like data entry, filing, and ordering supplies. They maintain a professional, organized, and welcoming reception area to enhance the guest experience.
Key Responsibilities
Visitor Management: Greeting, welcoming, and directing visitors and clients, maintaining high standards of reception area cleanliness.
Communication Hub: Answering, screening, and forwarding phone calls; managing emails and correspondence.
Administrative Support: Performing clerical
tasks, including photocopying, scanning, faxing, and filing documents.
Scheduling: Organizing meetings, maintaining calendars, and scheduling appointments for staff.
Office Maintenance: Monitoring and ordering
office supplies, as well as managing incoming/outgoing mail and deliveries.
Database Management: Maintaining accurate records, updating databases, and assisting with data entry.
Required Skills and Qualifications
Communication: Excellent verbal and written
communication skills.
Customer Service: Strong interpersonal skills to interact with clients, visitors, and staff professionally.
Technical Proficiency: Proficiency in MS
Office Suite (Word, Excel, Outlook) and experience with office equipment (printers, scanners).
Organizational Skills: Ability to multitask, prioritize tasks, and manage time efficiently.
Education: High school diploma or GED is generally required, with prior administrative or reception experience preferred
