Tactix is looking for an organized, proactive, and responsible Administration Manager to oversee the day to day administrative operations of the company. The role will involve managing office and facility operations, coordinating with vendors and service providers, supporting HR activities, maintaining records, and ensuring the smooth functioning of the workplace.
The ideal candidate should have strong organizational and communication skills, attention to detail, and the ability to independently handle multiple administrative responsibilities.
Key Responsibilities
Office & Facility Administration
- Manage day-to-day office and facility operations.
- Ensure the office and workplace are maintained in a clean, safe, and organized manner.
- Coordinate housekeeping, security, maintenance, repairs, and other facility requirements.
- Monitor office supplies, stationery, pantry requirements, and other administrative consumables.
- Maintain records of company assets, equipment, keys, access cards, and other office resources.
- Coordinate office/factory infrastructure requirements and service requests.
- Ensure timely renewal and maintenance of AMC, licenses, registrations, and other administrative requirements.
Vendor & Service Provider Management
- Identify and coordinate with vendors and service providers for office and facility requirements.
- Obtain quotations, compare prices, negotiate where required, and coordinate purchases.
- Maintain vendor records, agreements, invoices, and payment-related documentation.
- Track pending vendor payments and ensure timely closure of service-related issues.
- Evaluate vendor performance and escalate recurring issues when required.
HR & Employee Administration
- Support in employee onboarding, documentation, attendance, leave, and exit formalities.
- Maintain employee records and ensure required documents are properly filed and updated.
- Coordinate employee attendance and leave records with payroll.
- Assist in implementing company policies and administrative procedures.
- Coordinate employee engagement activities, meetings, events, and company outings.
- Handle employee administrative queries and coordinate with the relevant departments for resolution.
Procurement & Expense Management
- Handle routine administrative purchases and procurement requirements.
- Maintain purchase records, quotations, invoices, and supporting documents.
- Monitor administrative expenses and ensure spending is within approved budgets.
- Coordinate with the accounts team for invoice submission and payment processing.
- Maintain proper documentation for audit and accounting purposes.
Compliance & Documentation
- Maintain statutory, regulatory, and company-related administrative records.
- Coordinate with external consultants, agencies, and government departments when required.
- Ensure timely completion and renewal of administrative licenses, registrations, contracts, and other documents.
- Maintain proper physical and digital filing systems.
General Administration
- Coordinate meetings, visitors, travel arrangements, and other administrative requirements.
- Manage courier, dispatch, incoming/outgoing correspondence, and official documentation.
- Prepare administrative reports and MIS as required by management.
- Assist management with ad-hoc administrative and operational requirements.
- Identify gaps in administrative processes and suggest improvements.
Required Skills
- Strong organizational and multitasking abilities.

- Good knowledge of MS Office, particularly Excel and Word.
- Strong vendor coordination and negotiation skills.
- Good documentation and record-keeping skills.
- Ability to independently manage administrative activities.

Qualification
Bachelor's degree in relevant field.
Preferred Experience
Experience in office administration, HR coordination, facility management, procurement, vendor management, and employee administration will be preferred.
