Job Summary
The HR Executive will be responsible for managing day-to-day HR operations, including recruitment, employee onboarding, attendance, payroll coordination, statutory compliance, employee documentation, performance management, and separation processes. The role requires strong coordination, communication, documentation, and HRMS/ERP skills.
Key Responsibilities1. Recruitment & Talent Acquisition
- Manage end-to-end recruitment for academic and non-academic positions.
- Prepare and post job descriptions on recruitment portals and professional platforms.
- Source, screen, and shortlist suitable candidates.
- Coordinate interviews with the respective departments and management.
- Conduct reference and background verification as required.
- Prepare offer letters and appointment-related documents.
- Coordinate pre-joining and onboarding formalities.
2. Employee Onboarding & Documentation
- Coordinate joining formalities and collect required employee documents.
- Maintain employee personal files and HR records.
- Create and update employee records in the HRMS/ERP system.
- Coordinate issuance of employee ID cards, official email IDs, and other onboarding requirements.
- Ensure all employee documentation is complete and properly maintained.
3. Attendance & Leave Management
- Monitor employee attendance and biometric records.
- Maintain attendance and leave trackers.
- Verify attendance discrepancies and coordinate corrections.
- Manage leave records and ensure compliance with the organization's leave policy.
- Update attendance and leave information in the HRMS/ERP system.
4. Payroll & Salary Administration
- Coordinate monthly payroll processing with the concerned departments.
- Verify attendance, leave, deductions, and salary inputs.
- Prepare and maintain salary-related reports and records.
- Generate and distribute salary slips.
- Coordinate salary revisions, increments, and related documentation.
- Assist with Full & Final Settlement calculations and processing.
5. Statutory Compliance
- Assist in maintaining statutory compliance related to PF, ESIC, Professional Tax, TDS, and other applicable regulations.
- Coordinate PF/ESIC-related employee records and monthly processes.
- Prepare and maintain statutory reports and documentation.
- Ensure employee records are updated as per statutory requirements.
6. Employee Relations & HR Operations
- Address routine employee queries related to HR policies, attendance, leave, salary, and benefits.
- Support employee engagement activities and HR initiatives.
- Communicate HR policies and procedures to employees.
- Maintain confidentiality of employee information and HR records.
- Assist in resolving employee-related issues in coordination with management.
7. Performance Management
- Coordinate probation confirmation and performance review processes.
- Maintain performance appraisal records.
- Support Performance Improvement Plan (PIP) processes where required.
- Follow up with departments regarding employee performance documentation.
8. Separation & Exit Formalities
- Coordinate resignation and employee separation processes.
- Prepare resignation acceptance, relieving, experience, and other separation-related documents.
- Coordinate No Dues and asset handover formalities.
- Assist with Full & Final Settlement processing.
- Ensure exit documentation is completed and employee records are updated.
9. HR Reports & Records
- Maintain the employee master database and HR records.
- Prepare regular HR reports related to headcount, recruitment, attendance, payroll, attrition, and employee movements.
- Maintain accurate and confidential personnel records.
- Support HR audits and management reporting.
Required Skills
- Strong knowledge of HR operations and HR processes.
- Good understanding of recruitment and employee lifecycle management.
- Knowledge of payroll, attendance, leave, PF, and ESIC processes.
- Proficiency in MS Excel, MS Word, and HRMS/ERP systems.
- Excellent written and verbal communication skills.
- Strong coordination and interpersonal skills.
- Good documentation and record-maintenance skills.
- Ability to handle confidential employee information.
- Strong problem-solving and organizational skills.
Educational Qualification
MBA/PGDM in Human Resources, MSW (HR), or equivalent qualification.
Graduates with relevant HR experience may also be considered.
