Position Summary
The Admin Executive / Administrative Officer will be responsible for managing the day-to-day administrative operations of the school, ensuring smooth functioning of facilities, vendor coordination, compliance activities, record management, and administrative support to school leadership, staff, students, and parents.
Key ResponsibilitiesAdministrative Operations
- Manage and oversee daily administrative activities of the school.
- Maintain school records, files, registers, and administrative documentation.
- Coordinate with various departments to ensure efficient operational support.
- Prepare reports, letters, circulars, notices, and official correspondence.
Facility & Infrastructure Management
- Monitor maintenance of school buildings, classrooms, offices, and common areas.
- Coordinate with housekeeping, security, transport, and maintenance teams.
- Ensure availability of utilities, supplies, furniture, and equipment.
- Conduct periodic inspections to maintain cleanliness and safety standards.
Vendor & Procurement Management
- Liaise with vendors, contractors, and service providers.
- Obtain quotations, compare costs, and support procurement processes.
- Monitor vendor performance and service agreements.
- Maintain records of purchases, contracts, and inventory.
Compliance & Documentation
- Ensure compliance with local government regulations and school policies.
- Maintain licenses, permits, insurance records, and statutory documentation.
- Assist during audits, inspections, and accreditation processes.
- Track renewal dates and regulatory requirements.
Inventory & Asset Management
- Maintain records of school assets, equipment, and inventory.
- Conduct periodic stock verification and asset audits.
- Monitor issuance and replenishment of office and school supplies.
Parent & Visitor Management
- Support front-office administration when required.
- Manage visitor records and coordinate appointments.
- Address routine administrative queries from parents and stakeholders.
Event & Logistics Coordination
- Provide administrative support for school events, functions, examinations, and meetings.
- Coordinate logistics, venue arrangements, transportation, and resource allocation.
- Ensure smooth execution of school programs and activities.
Required Qualifications
- Bachelor's degree in Administration, Business Management, Commerce, or related field.
- Additional certification in Administration or Facility Management will be an advantage.
Experience
- 2-3 years of administrative experience.
- Prior experience in a school, educational institution, or service industry preferred.
Pay: ₹20,000.00 - ₹30,000.00 per month
