Job Overview
We are looking for a proactive and detail-oriented Sales Support Executive to support our sales operations and ensure seamless coordination between clients, sales teams, dispatch, accounts, and factory departments.
The ideal candidate should have strong communication skills, proficiency in SAP and Excel, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Key ResponsibilitiesDashboard & Reporting
- Create and maintain retail sales dashboards.
- Share daily sales reports with the core management team.
- Monitor and update sales-related MIS reports.
Client Coordination
- Handle pre-sales and post-sales communication with clients.
- Resolve customer queries and ensure timely support.
- Maintain strong professional relationships with customers.
Sales & Dispatch Coordination
- Follow up with the sales team regarding new orders and payment status.
- Coordinate dispatch planning based on order and payment confirmation.
- Update dispatch plans and sales orders regularly.
Documentation & Invoicing
- Prepare and send Proforma Invoices to clients.
- Verify payment receipts with the accounts department before dispatch.
- Collect and manage Purchase Orders (PO) and Sales Orders (SO).
- Cross-check project-wise pricing and coordinate for revised orders if required.
SAP Operations
- Create and manage Party Codes, City Masters, and Sales Orders in SAP.
- Coordinate with the SAP team for smooth implementation of sales processes.
- Support reporting and invoicing process setup in SAP.
Tender & Approval Documentation
- Prepare and share tender-related documents such as:
- PQ Documents
- Warranty Certificates
- Authorization Certificates
- Source Approval Documents
- Coordinate courier and submission of approval files.
Internal Coordination
- Coordinate with factory teams for MTCs, samples, brochures, and related documents.
- Work with the quality department to resolve customer complaints efficiently.
Vendor Registration & Quotations
- Manage vendor registration processes.
- Maintain quotation records and filing systems.
Required Qualifications
- Bachelor’s degree in Business Administration, Sales, or related field.
- Proficiency in SAP and MS Office (especially Excel).
- Strong communication and organizational skills.
- Ability to multitask and coordinate across departments.
- Prior experience in sales support/customer service preferred.
