Role Overview
We are looking for a proactive and detail-oriented Admin Executive to oversee day-to-day administrative operations, vendor management, facility maintenance, and office infrastructure. The ideal candidate should have strong coordination skills and the ability to ensure smooth functioning of office facilities and support services.
Key ResponsibilitiesVendor Management
- Manage and maintain relationships with vendors and service providers.
- Negotiate contracts, pricing, and service agreements.
- Monitor vendor performance and ensure timely delivery of services.
- Coordinate with housekeeping, security, pantry, maintenance, and other support vendors.
Facility & Maintenance Management
- Ensure smooth functioning and upkeep of office premises and infrastructure.
- Coordinate preventive and breakdown maintenance activities.
- Handle repairs, AMC contracts, and maintenance schedules for office equipment and assets.
- Ensure cleanliness, safety, and overall workplace hygiene standards.
Administrative Operations
- Oversee day-to-day office administration activities.
- Maintain office supplies and inventory records.
- Manage office assets and ensure proper utilization.
- Coordinate seating arrangements and workspace requirements.
- Support employee onboarding and administration-related requirements.
Budget & Compliance
- Track administrative expenses and maintain records.
- Process vendor invoices and ensure timely payments.
- Maintain contracts, agreements, and documentation.
- Ensure adherence to company policies and statutory requirements related to facilities.
Coordination & Support
- Liaise with internal stakeholders to address administrative requirements.
- Coordinate travel, accommodation, and event arrangements when required.
- Ensure uninterrupted office operations and timely resolution of issues.
Candidate Profile
- 2–8 years of experience in Administration, Facilities, or Vendor Management.
- Strong experience in handling multiple vendors and facility operations.
- Good negotiation and stakeholder management skills.
- Strong organizational and problem-solving abilities.
- Proficiency in MS Office and maintaining administrative records.
- Ability to work in a fast-paced environment and manage multiple priorities.
Preferred Background
- Experience in corporate offices, startups, or large organizations.
- Exposure to facility management, AMC handling, and office infrastructure management.
- Immediate joiners will be preferred.
