Position Summary
The Manager – Finance & Administration will be responsible for independently managing all finance, accounting, statutory compliance, procurement, vendor management, facility administration, asset management, and office operations of TFMSS. The role requires a hands-on professional who can ensure financial accuracy, regulatory compliance, operational efficiency, cost control, and smooth administration while supporting the organization's matrimony services and growth objectives.
Key Responsibilities
Finance & Accounts
- Maintain complete and accurate books of accounts and financial records.
- Prepare monthly, quarterly, and annual financial statements and management reports.
- Develop and monitor annual budgets, forecasts, and expenditure plans.
- Monitor cash flow, receivables, payables, and fund utilization.
- Process vendor payments, reimbursements, advances, and other financial transactions.
- Perform bank reconciliations and account reconciliations regularly.
- Maintain proper accounting controls and financial discipline.
- Coordinate with auditors for internal, statutory, and external audits.
Statutory Compliance & Taxation
- Ensure timely preparation and filing of GST returns and compliance with GST regulations.
- Monitor GST input tax credit reconciliation and maintain statutory records.
- Ensure timely deduction, payment, and filing of TDS and related returns.
- Ensure compliance with Income Tax regulations and other applicable statutory requirements.
- Coordinate with auditors, consultants, banks, and statutory authorities.
- Maintain all statutory records, licenses, registrations, and regulatory documentation.
- Ensure timely renewal of licenses, registrations, agreements, and statutory approvals.
Matrimony Operations Support
- Monitor membership fee collections, receipts, refunds (where applicable), and financial records.
- Ensure proper accounting and reconciliation of all matrimony-related transactions.
- Generate financial and operational reports related to memberships, registrations, and service revenue.
- Support management with data and reports for business planning and decision-making.
- Ensure confidentiality and security of member-related financial information.
Administration & Facility Management
- Oversee day-to-day administrative operations of the organization.
- Manage office facilities, maintenance, housekeeping, utilities, security, and support services.
- Ensure efficient office operations and resource utilization.
- Coordinate office repairs, maintenance activities, and service contracts.
- Maintain an updated asset register and oversee asset management.
- Ensure proper documentation and record management.
Procurement & Vendor Management
- Manage procurement of office supplies, equipment, and services.
- Identify, evaluate, and negotiate with vendors to achieve cost-effective procurement.
- Maintain vendor records and monitor vendor performance.
- Process purchase requests, purchase orders, and vendor payments in line with approved procedures.
Travel, Logistics & Event Support
- Coordinate travel, accommodation, and logistics requirements when needed.
- Support administrative arrangements for meetings, events, and organizational activities.
Compliance, Governance & Risk Management
- Ensure adherence to organizational policies, procedures, and governance standards.
- Implement and monitor internal controls and risk management practices.
- Ensure compliance with legal, financial, and administrative regulations.
- Identify operational and financial risks and recommend corrective actions.
Reporting & Management Support
- Prepare periodic financial, administrative, and operational reports.
- Provide financial analysis and recommendations to management.
- Monitor budgets and operational expenses and recommend cost-saving measures.
- Assist management in planning, budgeting, and resource allocation.
Process Improvement
- Identify opportunities to improve efficiency and productivity.
- Strengthen finance and administration systems and controls.
- Implement best practices for financial management and office administration.
Spiritual & Organizational Alignment
- Demonstrate integrity, accountability, and professionalism in all responsibilities.
- Support the mission, vision, and values of TFMSS.
- Maintain confidentiality and handle sensitive information responsibly.
Pay: ₹40,000.00 - ₹50,000.00 per month
