A receptionist acts as the primary point of contact, greeting visitors, answering calls, and handling administrative tasks to ensure smooth front-desk operations. Key responsibilities include scheduling appointments, managing mail, updating records, and supporting staff, requiring strong communication, customer service, and computer skills. ■ Core Responsibilities & Duties ● Front Desk Management: Greeting clients, visitors, and guests, ensuring a positive first impression of the company. ● Communication Hub: Answering, screening, and forwarding incoming phone calls, as well as managing emails and correspondence. ● Scheduling & Coordination: Scheduling meetings and appointments, maintaining calendars, and booking meeting rooms. ● Administrative Support: Filing documents (physical/digital), scanning, handling mail, and keeping the reception area tidy. ● Office Support: Maintaining office supply inventory and assisting with clerical duties. ■ Required Skills & Qualifications: ● Communication: Strong verbal and written. communication skills for interacting with clients and staff. ● Technology Proficiency: Experience with. Microsoft Office Suite, office equipment (printers, scanners), and familiarity with multi-line phone systems. ● Organization: Excellent multitasking, time-management, and organizational skills. ● Professionalism: Dependable, customer-service oriented, and capable of maintaining confidentiality. ■ Common Qualifications: High school diploma or equivalent. Prior experience in reception, administration, or customer service is often preferred.
