Role Overview
A Procurement Specialist is responsible for sourcing high-quality products at competitive prices, developing and maintaining the pricing database for thousands of marine provisions, deck/engine stores, and all related products, negotiating vendor contracts, ensuring accurate costs and seamless delivery of goods.
Primary Objective
To maintain, update, and optimize the company’s comprehensive marine database either with vendor contracts or regular pricing updates. This ensures accurate competitive pricing strategies across various categories of ship stores and provisions, cutting costs & increasing revenue.
Key Responsibilities
1. Price List & Database Management
- Maintain and update the master pricing list (ERP) for all marine stores, provisions, bonded stores, and all related products.
- Ensure all database SKUs are correctly mapped with current supplier costs, HSN & GST.
- Audit the system regularly to identify and correct discrepancies in unit pricing, UoMs, HSN, GST, item codes and other details.
2. Quoting & Costing Support
- Provide accurate and updated baseline prices to the sales and procurement teams to assist in preparing RFQs for ship captains and vessel owners.
- Analyse market trends and supplier rate fluctuations to recommend necessary adjustments to the base price lists.
3. Supplier & Vendor Coordination
- Collaborate with the procurement team to track incoming invoices from sub-suppliers, updating the database with the latest purchasing costs.
- Assist in negotiating favourable rates with regular suppliers by providing historical volume and pricing data.
4. Reporting & Compliance
- Generate regular margin analysis reports to ensure that pricing structures are generating targeted profitability.
- Ensure all pricing data adheres to maritime trade compliance and company governance policies.
Qualifications & Requirements
- Education: Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field.
- Experience: 2–5 years of experience in procurement, pricing/data analysis, or inventory management. Prior experience in a ship chandelling or marine supply company is highly desired.
- Technical Skills: Advanced proficiency in Microsoft Office 365, specifically advanced Excel (VLOOKUP, Pivot Tables). Familiarity with ERP systems is a strong plus.
- Soft Skills: Strong analytical capabilities, high attention to detail, and excellent communication skills in English and Hindi.
