Job Summary
We are looking for an experienced Operations Manager from the CHA/Freight Forwarding industry who possesses end-to-end operational knowledge of import and export documentation. The ideal candidate should be capable of independently handling customs documentation, coordinating with ports, shipping lines, transporters, customers, and government authorities while ensuring smooth and timely execution of shipments.
The candidate should also have the ability to establish operational processes for new ports, train team members, and manage multiple operational activities efficiently.
Key ResponsibilitiesImport Operations
- Handle complete import documentation from shipment arrival to final delivery.
- Manage Import Filing and customs clearance procedures.
- Coordinate with Customs, Shipping Lines, CFS, ICDs, Port Authorities, and Transporters.
- Prepare and verify all import-related documentation.
- Ensure timely clearance of consignments while maintaining statutory compliance.
- Monitor shipment status and provide regular updates to clients.
Export Operations
- Handle complete export documentation from booking to shipment completion.
- Prepare and process Shipping Bill Filing.
- Handle IGM-related documentation.
- Prepare and process Form 13 documentation.
- Coordinate with shipping lines, customs officials, transporters, and warehouses.
- Ensure timely execution of export shipments and compliance with customs regulations.
Documentation & Compliance
- Working knowledge of ICEGATE, E-Sanchit, VGM, and customs documentation procedures.
- Ensure proper filing and maintenance of import/export documents.
- Maintain compliance with DGFT, Customs, Shipping Line, and Government regulations.
- Verify invoices, packing lists, BL/AWB, COO, certificates, and other statutory documents.
- Resolve documentation discrepancies promptly.
Operations Management
- Manage day-to-day CHA and Freight Forwarding operations.
- Coordinate with internal departments and external stakeholders.
- Develop and implement Standard Operating Procedures (SOPs).
- Set up documentation and operational processes for new ports.
- Train and guide the operations team on customs procedures and documentation.
- Monitor shipment timelines and operational efficiency.
- Handle customer escalations professionally and ensure high service quality.
- Maintain MIS reports and operational records.
Desired Candidate Profile
- 3–10+ years of experience in a CHA or Freight Forwarding company.
- Strong knowledge of Import & Export documentation from start to end.
- Hands-on experience in:
- Import Filing
- Export Filing
- E-Sanchit
- VGM
- IGM
- Form 13
- Customs Clearance
- Shipping Documentation
- Port Operations
- Good knowledge of Indian ports and customs procedures.
- Experience in developing operational processes for new ports will be an added advantage.
- Excellent coordination and communication skills.
- Strong leadership and team management abilities.
- Ability to work under pressure and meet shipment deadlines.
- Proficiency in MS Excel, MS Office, and logistics documentation software.
Additional Requirements
- Willingness to travel anywhere in India whenever required.
- Valid G Category Customs Pass will be an added advantage (Not Mandatory).
