Job Title: Planning, Billing, Estimation & Tendering Executive

Reporting To: Project Manager / General Manager
Job Summary
Responsible for project planning, quantity estimation, preparation of bills, tender documentation, cost analysis, and coordination with clients, contractors, and project teams to ensure timely execution and financial control of projects.
Key Responsibilities
1. Planning
- Prepare project schedules and work plans.
- Monitor project progress against planned targets.
- Coordinate with site engineers and project teams.
- Prepare daily, weekly, and monthly progress reports.
- Track resource requirements and project milestones.
2. Estimation & Costing
- Prepare BOQ (Bill of Quantities) based on drawings and specifications.
- Calculate material, labor, machinery, and subcontractor costs.
- Prepare cost estimates and project budgets.
- Analyze rate quotations from vendors and suppliers.
- Maintain estimation records and cost databases.
3. Billing
- Prepare RA Bills (Running Account Bills) and Final Bills.
- Verify work quantities executed at site.
- Coordinate with clients for bill submission and certification.
- Track payment status and outstanding receivables.
- Prepare reconciliation statements and billing reports.
4. Tendering
- Identify suitable tenders and bidding opportunities.
- Study tender documents, specifications, and contract conditions.
- Prepare technical and commercial bid documents.
- Obtain quotations from vendors and subcontractors.
- Ensure timely submission of tender documents.
- Maintain records of submitted tenders and bid results.
5. Documentation & Reporting
- Maintain project records, contracts, and correspondence.
- Prepare MIS reports for management.
- Ensure compliance with contract terms and project requirements.
- Support audits and project reviews.
Required Skills
- Knowledge of BOQ preparation and quantity surveying.
- Understanding of tendering procedures and contract management.
- Billing and project costing expertise.
- Strong analytical and negotiation skills.
- Good communication and documentation abilities.
- Ability to work under deadlines.
Software Knowledge
- MS Excel (Advanced)
- MS Project / Primavera P6
- AutoCAD
- ERP Systems (SAP, Oracle, etc.)
- PDF & Tender Portal Handling (GeM, e-Tendering Portals)
Educational Qualification
- Diploma / B.E. / B.Tech in Civil or relevant field.
- Additional certification in Quantity Surveying, Primavera, or Project Management preferred.
Experience
- 3–5 Years: Executive / Engineer
- 5+ Years: Senior Engineer / Manager
KPI / Performance Indicators
- Accuracy of estimates and BOQ.
- Timely submission of bills and tenders.
- Cost savings achieved.
- Project schedule adherence.
- Success rate of tender submissions.
This job profile is suitable for Planning Engineer, Billing Engineer, Estimation Engineer, Tendering Engineer, or Planning & Contracts Engineer positions in construction, infrastructure, manufacturing, and EPC industries.
Pay: ₹25,000.00 - ₹32,000.00 per month
