We are looking for an experienced Accountant / QuickBooks Executive who can independently manage the complete accounting operations of our US-based auto-parts business.
The candidate will be responsible for maintaining accurate sales, purchase, vendor, customer, payment, refund and expense records in QuickBooks. The role requires strong knowledge of bookkeeping, reconciliation and preparation of financial reports.
Key Responsibilities
- Record daily sales and purchase transactions in QuickBooks.
- Maintain complete customer and vendor ledgers.
- Enter invoices, bills, receipts, refunds, credit notes and other adjustments.
- Track payments received through credit cards, debit cards, financing companies and payment gateways.
- Record payments made to junkyards, suppliers, shipping companies and service providers.
- Match CRM sales and purchase data with QuickBooks records.
- Perform regular bank, credit-card and payment-gateway reconciliations.
- Track outstanding customer payments and unpaid vendor bills.
- Maintain records of order cancellations, refunds, chargebacks and restocking fees.
- Verify sales revenue, product purchase cost, shipping expenses and gross profit for each order.
- Categorize business expenses correctly.
- Identify missing, duplicate or incorrect accounting entries.
- Maintain supporting documents, including invoices, bills, receipts and payment confirmations.
- Prepare weekly and monthly financial reports.
- Generate Profit & Loss statements, Balance Sheets, cash-flow reports and accounts receivable/payable reports.
- Coordinate with management, sales, purchase and customer-service teams to resolve accounting discrepancies.
- Provide accurate data and reports to the company’s US CPA or tax consultant when required.
Required Skills
- Strong practical knowledge of QuickBooks Online.
- Good understanding of sales, purchases, accounts payable and accounts receivable.
- Experience in bank and credit-card reconciliation.
- Knowledge of bookkeeping, journal entries, ledgers and financial statements.
- Strong Microsoft Excel or Google Sheets skills.
- Ability to manage a high volume of daily transactions.
- High attention to detail and accuracy.
- Ability to work independently and maintain confidentiality.
- Good written and verbal communication skills.
Preferred Qualifications
- Bachelor’s degree in Commerce, Accounting, Finance or a related field.
- B.Com, M.Com, CA Inter or equivalent accounting qualification preferred.
- Minimum 2–4 years of accounting experience.
- Previous experience handling accounts for a US-based business will be preferred.
- Knowledge of US sales tax, payment gateways, chargebacks and e-commerce accounting will be an advantage.
- Experience working with CRM sales and purchase reports will be preferred.

- Accuracy of QuickBooks entries.
- Timely completion of daily bookkeeping.
- Accuracy of bank and payment-gateway reconciliation.
- Proper tracking of sales, purchase costs and order profitability.
- Timely preparation of weekly and monthly reports.
- Minimum pending or unreconciled transactions.
Candidate Profile
We need a responsible and detail-oriented person who can take ownership of the company’s complete accounting records—not someone who only performs basic data entry. The candidate should be capable of checking the accuracy of sales and purchase data, identifying discrepancies and providing management with a clear view of revenue, expenses, receivables, payables and profitability.
