ROLE OVERVIEW
The Executive Assistant to the Founder will be responsible for managing the Founder’s calendar, communications, meetings, travel, priorities, and follow-ups while ensuring smooth coordination across clients, consultants, partners, vendors, and internal teams.
The ideal candidate is highly organized, execution-focused, proactive, and capable of anticipating needs before being asked.
KEY RESPONSIBILITIES1. Calendar & Schedule Management
- Manage the Founder’s calendar and daily schedule.
- Coordinate meetings, workshops, client calls, networking events, podcasts, and speaking engagements.
- Prioritize appointments based on business objectives.
- Prevent scheduling conflicts and ensure efficient time management.
- Send reminders and prepare daily schedules.
- Allocate focus blocks and buffer time for travel and preparation.
2. Meeting Coordination & Follow-Ups
- Schedule internal and external meetings.
- Prepare meeting agendas.
- Attend meetings when required and document key action points.
- Track action items and ensure timely completion.
- Follow up with team members, consultants, vendors, and partners.
- Maintain a system for monitoring commitments and deadlines.
3. Email & Communication Management
- Organize and manage the Founder’s inbox.
- Draft and respond to emails on behalf of the Founder when required.
- Prioritize urgent and important communications.
- Coordinate communication with clients, partners, vendors, consultants, and stakeholders.
- Ensure professional and timely correspondence.
4. Founder Productivity Management
- Assist the Founder in managing daily, weekly, and monthly priorities.
- Track strategic initiatives and business goals.
- Maintain task trackers and project dashboards.
- Ensure deadlines are met and commitments are honored.
- Create accountability systems for ongoing projects.
5. Travel & Event Coordination
- Manage travel bookings, accommodation, and itineraries.
- Coordinate logistics for workshops, exhibitions, conferences, and speaking engagements.
- Liaise with event organizers and vendors.
- Ensure all travel and event requirements are planned in advance.
6. Business Operations Support
- Coordinate activities across different business verticals.
- Track ongoing projects and provide regular status updates.
- Maintain documentation, reports, and SOPs.
- Support operational efficiency by ensuring tasks move forward without delays.
- Assist in process improvement initiatives.
7. CRM & Lead Management Support
- Track incoming leads and enquiries.
- Ensure timely follow-up with prospects and clients.
- Maintain CRM records and databases.
- Generate basic reports on lead status and conversions.
- Coordinate with sales and business development activities.
8. Content & Brand Coordination
- Coordinate with social media, marketing, and content teams.
- Maintain content calendars and schedules.
- Track podcast appearances, speaking engagements, and collaborations.
- Organize digital assets and business documents.
9. Personal Assistance Support
- Manage personal appointments and commitments when required.
- Coordinate reservations, bookings, and reminders.
- Assist in maintaining a balanced schedule between professional and personal priorities.
Pay: ₹15,000.00 - ₹20,000.00 per month
Work Location: In person
