JOB AIM:
To provide transport office duties in ensuring an efficient & appropriately controlled transport services as par JLL policies and processes.
Responsibilities:
1. Plan, direct, and coordinate transportation operations and logistics.
2. Own day-to-day employee transport operations for assigned shifts/routes to meet SLA (on-time pickup/drop, minimal cancellations, safe rides).
3. Use the TMS (Transport Management System) to manage roster uploads, route planning, trip creation, vehicle allocation, and trip closure with accurate passenger and location data.
4. Monitor live operations (where enabled): trip status, delays, no-shows, ad-hoc requests, and take corrective actions with transporter/driver control room.
5. Manage transport vendor performance: fleet availability, driver behaviour, vehicle hygiene, GPS compliance, breakdown response, and escalation handling; maintain scorecards.
6. Ensure safety & compliance: driver/vehicle document validity, onboarding checks, adherence to safety SOPs (especially for late-night/ladies safety requirements where applicable), incident/near-miss reporting, and audit-ready records.
7. Transport SLA: Participate in weekly SLA of transport and ensure the closer of observations.
8. Handle employee support: respond to transport queries/complaints, coordinate reroutes, ensure timely communication on delays, and close tickets in TMS/helpdesk with proper notes.
9. Own billing & finance via TMS: verify trip counts, rates, exceptions, and supporting proofs; coordinate with Finance Executive/Central Finance for invoice validation and on-time closure.
10. Produce and publish MIS from TMS: on-time performance, cancellations, utilization/occupancy, cost per trip, exceptions, complaints, and vendor SLA adherence; run weekly/monthly governance reviews.
11. Maintain accurate records of transportation activities.
