Role Overview
As Executive Assistant in the Founder's Office, you will act as the execution arm of the leadership team, driving coordination across departments and making sure business priorities actually land on time. The primary focus of this role is to own the end-to-end coordination and execution of two premium, high-touch business verticals, Concierge and Black, keeping teams aligned and key initiatives on schedule. This is a high-ownership role suited to someone who is organized, detail-obsessed, and comfortable chasing outcomes independently in a fast-moving startup.
Key Responsibilities
- Own the end-to-end execution of the Concierge and Black business verticals, from planning through to delivery
- Coordinate across Sales, Operations, Marketing, Finance, Tech, and Customer Experience to ensure smooth execution of business priorities
- Track daily operations, project timelines, and key deliverables across teams, and maintain a single source of truth on status
- Follow up with stakeholders to ensure tasks are closed within agreed deadlines
- Prepare reports, dashboards, and business updates for the leadership team
- Identify operational bottlenecks early and proactively drive them to resolution
- Schedule meetings, document action items, and run structured follow-ups so nothing slips
- Support the leadership team on strategic projects and new business initiatives
- Maintain clear, timely communication between internal teams and external stakeholders
- Uphold high standards of accountability, organisation, and execution across all assigned projects
_ Requirements_
- Bachelor's degree in Business Administration or a related field
- 1 to 3 years of experience in Operations, Project Management, Executive Assistance, or Founder's Office roles
- Excellent communication, coordination, and stakeholder management skills
- Strong proficiency in Google Workspace or MS Office, especially Excel and presentations
- Highly organized, with exceptional multitasking and problem-solving abilities
- Ability to work in a fast-paced startup environment with a high sense of ownership
Technical Skills / Tools
- Strong working knowledge of MS Excel or Google Sheets for tracking, reporting, and basic analysis
- Confident with PowerPoint or Google Slides for leadership reviews and business updates
- Comfortable with Google Workspace day to day, including Calendar, Docs, Drive, and Forms
- Familiarity with project and task management tools such as Notion, Asana, Trello, or ClickUp is a plus
- Comfortable coordinating across email, Slack, and WhatsApp with internal teams and external partners
_ Good to Have_
- Prior experience in an e-commerce, marketplace, D2C, or consumer internet startup
- Exposure to premium, luxury, or high-touch customer service verticals
- Experience supporting a founder or CXO directly, or working within a Founder's Office
- Track record of running a new vertical, product, or process from launch through stabilisation.
