Job Title: Receptionist

Job Summary:
The Receptionist is responsible for managing the front desk and being the first point of contact for all visitors, employees, and vendors. The role includes welcoming guests, handling phone calls, and guiding visitors as per company procedures. In addition, the receptionist supports daily administrative work such as handling couriers, maintaining records, coordinating with different departments for meetings or visitor appointments, and keeping the reception area clean and organized. The role also requires maintaining confidentiality of company information and ensuring a professional, polite, and helpful approach at all times.
Job Responsibilities:
1. Front Desk Management
- Manage the reception area and ensure it is organized, and presentable.
- Be the first point of contact for visitors, employees, and vendors.
- Maintain a professional and polite behavior at all times.
2. Visitor Handling & Entry Control
- Welcome visitors and guide them as per company procedures.
- Inform concerned departments about visitor arrival.
- Coordinate with the security guard at the main gate to verify incoming visitors.
3. Call & Communication Handling
- Handle incoming and outgoing calls in a professional manner.
- Transfer calls to the concerned person/department.
- Take and pass messages accurately.
4. Administrative Support
- Assist in basic administrative tasks like filing, data entry, and record keeping.
- Support meeting arrangements (visitor seating, coordination, etc.)
- Receive and dispatch couriers, letters, and documents and maintain proper inward and outward courier records.
- Support management in any other assigned tasks.
Key Skills Required:
- Good communication and interpersonal skills (confident and fluent in English)
- Basic computer knowledge (MS Word, Excel, email)
- Professional behavior and appearance
- Ability to handle multiple tasks
Qualification & Experience:
- Graduate in any discipline
- 3-5 years of experience as a receptionist/front desk executive (preferably in pharma or other manufacturing industry)
