Job Summary
The Admin & Guest Relations Executive is responsible for managing front office operations, providing excellent guest and visitor support, and handling day-to-day administrative activities to ensure the smooth functioning of the office.
Key Responsibilities
Guest Relations
- Welcome and assist visitors, clients, and guests in a professional manner.
- Manage the reception area and maintain a positive first impression.
- Handle incoming calls, emails, and inquiries, and direct them to the appropriate departments.
- Coordinate visitor appointments and meeting room bookings.
- Maintain visitor records and issue visitor passes as required.
Administration
- Oversee daily office administration activities.
- Coordinate housekeeping, pantry, and office maintenance services.
- Manage office supplies, stationery, and pantry inventory.
- Coordinate with vendors for office services, repairs, and maintenance.
- Process purchase requests and maintain administrative records.
- Support travel bookings, accommodation arrangements, and courier services.
- Ensure office facilities are clean, safe, and operational.
Coordination & Support
- Assist HR with employee onboarding and administrative documentation.
- Coordinate internal events, meetings, and employee engagement activities.
- Maintain office files, documents, and asset records.
- Ensure compliance with office policies and administrative procedures.
