Job Title: Personal Secretary to the Chief Operating Officer (COO)
Job Summary
We are seeking a highly organized, proactive, and professional Personal Secretary to provide comprehensive administrative and executive support to the Chief Operating Officer (COO). The ideal candidate should possess excellent communication, coordination, and time management skills, with the ability to handle confidential information with discretion.
Key Responsibilities
- Manage the COO's calendar, appointments, meetings, and travel arrangements.
- Prepare correspondence, reports, presentations, and meeting minutes.
- Screen and prioritize emails, phone calls, and other communications.
- Coordinate meetings, conferences, and business events.
- Maintain confidential records, documents, and files.
- Follow up on action items and ensure timely completion of assigned tasks.
- Liaise with internal departments and external stakeholders on behalf of the COO.
- Organize and maintain office records and executive documentation.
- Assist in preparing reports, MIS, and business presentations.
- Handle administrative tasks and provide general executive support as required.
Required Qualifications
- Master's degree in Business Administration, Commerce, Management, or a related field.
- 2–5 years of experience as an Executive Assistant, Personal Secretary, or in a similar administrative role.
- Excellent verbal and written communication skills in English.
- Strong organizational and multitasking abilities.
- High level of professionalism and confidentiality.
- Ability to work independently and manage priorities effectively.
