We are looking for a highly organized, trustworthy, and loyal Office Manager with direct experience in the floral, event, or high-end hospitality industry to streamline our daily operations, manage our customer concierge desk, and keep our studio running like clockwork.
The Role & What You’ll Do
As our Office Manager, you will be the backbone of our business. You will bridge the gap between our creative floral designers, our logistics team, and our high-profile clients. This is a role that requires absolute discretion, honesty, and a passion for luxury brand standards.
- Order & Logistics Coordination: Oversee the daily order queue (including Shopify online orders and custom event bookings). Ensure delivery schedules, venue timing, and client specifications are perfectly communicated to our logistics team.
- Supplier & Inventory Management: Coordinate directly with local and international flower vendors. Track stem counts, hard goods inventory (vases, luxury boxes, packaging material), and manage weekly purchasing schedules to minimize waste.
- Client Concierge & VIP Relations: Act as the primary point of contact for custom inquiries, high-ticket room decoration packages, and VIP clients via phone, email, and WhatsApp.
- Office Administration & Bookkeeping: Manage daily office administrative tasks, oversee petty cash, handle basic invoicing, process partial/advance payments, and coordinate staff scheduling (especially during peak holiday seasons like Valentine's Day and major wedding weeks).
- Team Support: Support the studio operations to ensure floral designers have the materials they need, ensuring a clean, organized, and highly efficient luxury studio environment.
Required Skills & Experience
- Floral / Event Industry Experience (Required): Minimum of 1+ years of proven experience working in a florist studio, wedding/event planning agency, or luxury design house. You must understand flower care, seasonal availability, and floral production timelines.
- Exceptional Organization: Outstanding administrative, file-keeping, and scheduling skills. Ability to multitask calmly under tight, time-sensitive event deadlines.
- Tech Savvy: Proficiency with e-commerce backends (experience with Shopify is highly preferred), inventory management systems, and messaging tools like WhatsApp Business.
- Strong Communication: Polite, professional, and articulate verbal and written communication skills suitable for a luxury clientele.
- Financial Reliability: Basic bookkeeping, invoicing, and petty cash management skills with a flawless track record of financial integrity.
