Job Summary
The Data Entry Operator / Computer Operator cum Cashier is responsible for accurately entering business transactions into the dealership management system, handling customer billing and cash transactions, maintaining records, and supporting daily administrative and operational activities. The role ensures timely and error-free processing of invoices, receipts, inventory records, and financial transactions while delivering excellent customer service.
Key ResponsibilitiesData Entry & System Operations
- Enter customer, vehicle, service, sales, and spare parts data into the Dealer Management System (DMS)/ERP.
- Update daily sales, service, and inventory records.
- Verify the accuracy of data before submission.
- Maintain digital and physical records of invoices, job cards, purchase entries, and other documents.
- Generate daily, weekly, and monthly operational reports.
- Ensure timely completion of all system entries without backlog.
Billing & Cashier Operations
- Prepare invoices for vehicle sales, service, spare parts, and accessories.
- Receive customer payments through cash, UPI, debit/credit cards, cheques, and bank transfers.
- Issue receipts and payment acknowledgements.
- Perform daily cash reconciliation and submit cash collections to the Accounts Department.
- Maintain petty cash records and supporting documents.
- Handle refunds and payment adjustments as per company policy.
Customer Service
- Attend to customer queries related to billing and payments.
- Coordinate with Sales, Service, and Spare Parts departments for invoice processing.
- Ensure prompt and courteous customer service at the billing counter.
Documentation & Administration
- Maintain files related to invoices, vouchers, receipts, and customer records.
- Assist in preparing MIS reports and daily sales summaries.
- Ensure compliance with company policies, audit requirements, and record retention procedures.
Required Qualifications
- Intermediate (12th Pass), Diploma, or Graduate in Commerce, Business Administration, Computer Applications, or any relevant discipline.
Experience
- 0–2 years of experience in data entry, billing, cashier, or back-office operations.
- Experience in an automobile dealership is preferred but not mandatory.
Required Skills
- Proficiency in MS Office, especially Excel and Word.
- Basic knowledge of Dealer Management Systems (DMS), ERP, Tally, or billing software.
- Good typing speed (minimum 35–40 WPM) with high accuracy.
- Strong numerical and cash-handling skills.
- Good communication and customer service abilities.
- Attention to detail and strong organizational skills.
- Ability to work under pressure and meet deadlines.

Working Conditions
- Work from the dealership showroom and/or service center.
- Coordinate regularly with Sales, Service, Spare Parts, and Accounts teams.
- May require weekend and holiday shifts based on dealership business requirements.
