Job Summary
The Executive Assistant to the Managing Director provides comprehensive administrative and executive support to ensure the smooth and efficient functioning of the MD's office. The role involves managing schedules, coordinating meetings, handling confidential information, facilitating communication, and supporting strategic initiatives. The ideal candidate is highly organized, proactive, detail-oriented, and capable of working in a fast-paced environment.
Key ResponsibilitiesExecutive Support
- Manage the MD's calendar, appointments, and daily schedule.
- Coordinate domestic and international travel, accommodation, and travel itineraries.
- Screen and prioritize emails, phone calls, and correspondence.
- Prepare presentations, reports, meeting agendas, and other business documents.
- Draft letters, emails, and official communications on behalf of the MD.
Meeting & Communication Management
- Schedule and coordinate internal and external meetings.
- Prepare meeting materials and record minutes with follow-up on action items.
- Act as the primary liaison between the MD and internal departments, clients, vendors, and business partners.
- Ensure timely communication and follow-up on key business priorities.
Administrative & Operational Support
- Maintain confidential files, records, and documentation.
- Track deadlines, commitments, and deliverables for the MD.
- Process expense reports and maintain administrative records.
- Organize business events, board meetings, and executive visits.
Confidentiality & Compliance
- Handle sensitive and confidential information with the highest level of discretion.
- Ensure compliance with company policies and administrative procedures.
- Maintain professionalism in all executive interactions.
Qualifications
- Bachelor's degree in Business Administration, Management, Commerce, or a related field.
- 5+ years of experience as an Executive Assistant, Executive Secretary, or similar executive support role.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
- Excellent written and verbal communication skills.
- Strong organizational, planning, and multitasking abilities.
- High level of integrity, professionalism, and discretion.
