Executive Assistant to Managing Director – Real Estate

Job Summary
We are looking for a smart, organised and responsible Executive Assistant to the Managing Director with a strong background in Administration and Accounts Coordination. The candidate will be responsible for managing the MD’s day-to-day administrative activities, documentation, accounts follow-ups, MIS, coordination with internal departments and external parties, and maintaining confidentiality of business information.
Key Responsibilities
Manage the MD’s calendar, meetings, appointments, reminders and daily schedule.
Coordinate with Accounts, Finance, Legal, Sales, Projects and Administration teams on behalf of the MD.
Maintain and track payments, outstanding receivables/payables, expenses, invoices and account-related follow-ups.
Prepare and maintain MIS reports, Excel trackers, payment schedules and management reports.
Coordinate with CA, auditors, banks, vendors and other external agencies as required.
Maintain records of agreements, property documents, invoices, approvals and other important company documents.
Follow up on pending tasks, payments, approvals and commitments and provide regular status updates to the MD.
Assist in preparation of business correspondence, letters, presentations and reports.
Coordinate meetings, prepare agendas and Minutes of Meetings (MOM), and follow up on action points.
Handle travel arrangements, bookings and other administrative requirements of the MD.
Maintain confidentiality of financial, business and management-related information.
Support general office administration and ensure smooth coordination between the MD and various departments.
Candidate Profile
Graduate in Commerce / Finance / Business Administration preferred.
3–7 years of experience in Executive Assistance, Administration, Accounts Coordination or similar role.
Experience in a Real Estate / Construction company will be preferred.
Good understanding of basic accounting, invoices, payments, reconciliation and financial documentation.
Strong knowledge of MS Excel, Word, PowerPoint and email correspondence.
Excellent follow-up, coordination and documentation skills.
Good written and verbal communication skills.
Mature, trustworthy and capable of handling confidential information.
Should be proactive, detail-oriented and comfortable working directly with senior management.
Preferred Candidate: Someone who is strong in Administration + Accounts coordination rather than only secretarial/PA responsibilities, and who can independently track multiple tasks and provide timely updates to the MD
