We are looking for a detail-oriented and organized Shopify & Inventory Management Coordinator to manage the day-to-day operations of our online store.
The person in this role will be responsible for maintaining the Shopify website, tracking inventory, processing orders, creating product and shipping labels, coordinating stock updates, and ensuring that all product and order information is accurate.
Preferred Qualifications
- Experience with Shopify apps and inventory-management software.
Key Responsibilities: Shopify Store Management
- Add and update products, descriptions, prices, SKUs, barcodes, images, variants, weights, and dimensions.
- Organize products into appropriate collections and categories.
- Update inventory quantities and product availability on Shopify.
- Monitor the website for incorrect pricing, missing information, broken links, or out-of-stock products.
- Create discount codes, promotional offers, bundles, and product listings when required.
- Ensure all product pages are accurate, properly formatted, and customer-friendly.
- Monitor incoming orders and ensure they are processed correctly.
- Coordinate refunds, exchanges, cancellations, and order modifications when needed.
Inventory Tracking
- Maintain accurate inventory records for all products and product variants.
- Track incoming stock, outgoing stock, returns, damages, samples, and promotional inventory.
- Identify stock discrepancies and report them immediately.
- Monitor low-stock and out-of-stock products.
- Prepare restocking recommendations based on sales and inventory movement.
- Maintain organized inventory tracking sheets and reports.
- Coordinate with suppliers, warehouses, fulfilment partners, and internal team members regarding stock availability.
Order Processing and Fulfilment
- Review customer orders for accuracy before fulfilment.
- Generate packing slips, invoices, shipping documents, and order summaries.
- Coordinate order picking, packing, and dispatch.
- Update tracking numbers and shipment statuses in Shopify.
- Follow up on delayed, returned, lost, or incorrectly delivered orders.
- Ensure orders are shipped within the company’s expected fulfilment timeline.
- Communicate order-related issues to the appropriate team member.
Label Creation and Management
- Create and print shipping labels through Shopify or approved shipping platforms.
- Create product labels, barcode labels, SKU labels, price labels, and warehouse labels.
- Verify customer names, addresses, product details, package weights, and shipping services before printing labels.
- Ensure labels meet carrier, marketplace, and company requirements.
- Maintain consistent formatting across all product and packaging labels.
- Organize label files and templates for future use.
- Reprint or correct inaccurate labels when required.
Reporting and Administration
- Prepare daily or weekly reports on:
- Orders received and fulfilled
- Current inventory levels
- Low-stock products
- Out-of-stock products
- Returns, exchanges, and damaged products
- Inventory discrepancies
- Pending or delayed shipments
- Maintain accurate records of stock movement and fulfilment activity.
- Coordinate with customer service, marketing, sales, and operations teams.
- Assist with seasonal promotions, product launches, sales events, and inventory planning.
Required Skills and Qualifications
- Previous experience managing a Shopify store or similar e-commerce platform.
- Experience with inventory tracking and order fulfilment.
- Familiarity with shipping labels, product labels, barcodes, and SKUs.
- Strong knowledge of Microsoft Excel or Google Sheets.
- Excellent attention to detail and organizational skills.
- Ability to manage multiple orders and tasks without missing deadlines.
- Basic understanding of shipping carriers and fulfilment processes.
- Strong written and verbal communication skills.
- Ability to identify and resolve inventory or order discrepancies.
- Comfortable working independently and following established processes.
