Job Summary
The Documentation & Customer Service Executive is responsible for preparing and managing export/import shipping documentation, coordinating with customers, carriers, overseas agents, and internal teams to ensure smooth shipment execution, timely updates, and excellent customer service.
Key Responsibilities
Prepare and verify export/import shipping documents such as Shipping Instructions (SI), Bill of Lading (BL), Commercial Invoice, Packing List, Certificate of Origin, and other related documents.
Coordinate with shipping lines, airlines, overseas agents, transporters, and Customs House Agents (CHA) for smooth shipment processing.
Ensure timely submission of SI, VGM, AMS/ENS, and other statutory documentation within carrier deadlines.
Track shipments and provide regular shipment status updates to customers.
Handle customer inquiries, resolve shipment-related issues, and maintain high service standards.
Coordinate with internal departments including Operations, Pricing, Sales, Finance, and Customs Clearance.
Verify carrier invoices and ensure documentation accuracy before billing.
Maintain shipment records and update ERP/operational systems accurately.
Follow customer SOPs and ensure compliance with company procedures and international shipping regulations.
Assist in handling BL amendments, delivery issues, claims, and customer escalations.
Ensure all shipment documents are filed and archived as per company policy.
Required Skills
Knowledge of Ocean Freight and Air Freight documentation.
Good understanding of Incoterms and international shipping procedures.
Strong communication and customer relationship skills.
Good coordination and problem-solving abilities.
Proficiency in Microsoft Office (Excel, Word, Outlook) and freight forwarding software/ERP.
Ability to work under pressure and meet shipping deadlines.
Strong attention to detail and documentation accuracy.
Pay: ₹30,000.00 - ₹35,000.00 per month
