Key Responsibilities of a Dispatch Manager (Central Warehouse – Retail)
1. Plan and manage daily dispatch operations from the Central Warehouse to PAN India retail stores.
2. Ensure timely and accurate dispatch of stock as per store requisitions and delivery schedules.
3. Coordinate with transporters, courier partners, and logistics providers for cost-effective and timely shipments.
4. Book consignments through approved transport and courier agencies and monitor shipment movement until delivery.
5. Prepare dispatch documentation, including invoices, e-way bills, packing lists, LR copies, and shipping labels.
6. Ensure 100% barcode tagging and scanning of all SKUs before dispatch.
7. Verify quantity, SKU, batch, and quality of goods before dispatch to eliminate dispatch errors.
8. Maintain stock integrity by preventing shortages, excess dispatches, damages, and pilferage.
9. Conduct monthly physical stock audits and reconcile physical inventory with ERP/system records.
10. Investigate stock variances and implement corrective and preventive actions.
11. Coordinate with warehouse, inventory, procurement, and retail store teams to resolve dispatch-related issues.
12. Track pending dispatches and ensure adherence to dispatch SLAs.
13. Monitor transporter performance, transit times, freight costs, and proof of delivery (POD) collection.
14. Handle reverse logistics, return shipments, and damaged goods received from stores.
15. Maintain accurate dispatch records, transporter bills, and courier invoices.
16. Ensure compliance with company SOPs, safety standards, and statutory requirements.
17. Optimise vehicle loading and route planning to reduce transportation costs.
18. Generate daily, weekly, and monthly MIS reports on dispatches, stock movement, freight expenses, and delivery performance.
19. Monitor warehouse housekeeping and ensure organised staging of dispatch-ready stock.
20. Lead and supervise dispatch staff, loaders, and warehouse assistants.
21. Train team members on barcode scanning, packing standards, and dispatch procedures.
22. Coordinate with finance for freight bill verification and payment processing.
23. Ensure zero dispatch of damaged, expired, or incorrect merchandise.
24. Resolve store complaints regarding shortages, wrong shipments, or delayed deliveries.
25. Support inventory planning during seasonal sales, promotions, and new store launches.
26. Drive continuous process improvements to enhance dispatch accuracy, efficiency, and customer satisfaction.
