Job Title: Publishing Operations Executive
Location: Sovabazar, Kolkata (On-site)

About the Role
We are seeking a highly organised and detail-oriented Publishing Operations Executive to support the end-to-end publication and distribution of books across multiple domains including child development, psychology, education, human potential, storytelling, productivity, leadership, and personal growth.
This role is ideal for someone who enjoys transforming ideas into finished books through structured coordination, documentation, editorial support, vendor management, and publishing operations.
The successful candidate will work closely with the Founder and publishing team to ensure that manuscripts move efficiently from concept to publication and distribution while maintaining high standards of quality and consistency.
Key Responsibilities
Editorial & Manuscript Coordination
- Organise and maintain manuscript versions and publishing records
- Coordinate the movement of manuscripts through drafting, editing, proofreading, typesetting, and publication stages
- Assist in converting transcripts, recordings, and source materials into structured manuscript drafts
- Coordinate with editors, proofreaders, translators, and content contributors
- Ensure timely completion of editorial milestones
Publishing Operations
- Coordinate ISBN procurement and publication metadata management
- Liaise with DOI registration agencies and publishing service providers
- Maintain publication records and documentation
- Assist in preparing copyright, front matter, acknowledgements, references, and publication information pages
- Ensure compliance with publishing requirements and standards
Production Management
- Coordinate with cover designers, illustrators, typesetters, and layout professionals
- Review production deliverables against project specifications
- Track revisions and ensure implementation of feedback
- Manage production schedules and deadlines
Print & Distribution Coordination
- Coordinate print runs and print-on-demand activities
- Communicate with printers and distribution partners
- Manage book inventory records where applicable
- Coordinate logistics related to book dispatch and fulfilment
- Track publication and distribution status
Vendor Coordination
- Serve as the primary point of contact for publishing-related vendors
- Obtain quotations and compare service providers when required
- Follow up with designers, printers, typesetters, editors, and other external partners
- Ensure vendor deliverables are completed on time and meet expected quality standards
Research & Administrative Support
- Conduct publishing-related research as required
- Gather information regarding publication platforms, distribution channels, academic indexing, metadata requirements, and industry best practices
- Prepare summaries, comparison sheets, and recommendations for decision-making
- Assist in maintaining publishing workflows and operational systems
Documentation & Project Tracking
- Maintain structured project trackers for all ongoing publications
- Monitor deadlines, dependencies, and pending actions
- Prepare periodic status reports for leadership review
- Organise digital assets, manuscripts, covers, marketing materials, and publication records in a systematic manner
Desired Qualifications
- Bachelor's degree in English, Publishing, Journalism, Communications, Humanities, Business Administration, or related fields
- Prior experience in a publishing house, academic publishing company, editorial services organisation, content production company, or similar environment
- Strong understanding of publishing workflows and production cycles
- Excellent documentation and organisational skills
- Strong written and verbal communication skills
- High attention to detail and ability to manage multiple projects simultaneously
Preferred Experience
