Job Summary:
We are looking for a friendly, professional, and organized Front Office Receptionist to serve as the first point of contact for visitors and clients. The ideal candidate will manage front desk operations, provide excellent customer service, handle administrative tasks, and ensure the reception area is welcoming and efficient.
Key Responsibilities:
- Greet and welcome visitors, clients, and guests in a professional manner.
- Answer, screen, and direct incoming phone calls.
- Respond to emails and general inquiries promptly.
- Schedule and manage appointments and meeting rooms.
- Maintain visitor logs and issue visitor passes where required.
- Receive, sort, and distribute mail, packages, and deliveries.
- Keep the reception area clean, organized, and presentable.
- Perform basic administrative tasks such as filing, data entry, photocopying, and scanning documents.
- Assist with office supplies inventory and place orders when needed.
- Coordinate with other departments to ensure smooth office operations.
- Handle customer concerns professionally and escalate issues when necessary.
- Maintain confidentiality of company and client information.
Qualifications:
- High school diploma or equivalent; a diploma or degree in business administration is an advantage.
- Previous experience as a receptionist, front desk executive, or in a customer service role is preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Familiarity with office equipment such as printers, scanners, and telephone systems.
