Role Overview
The WE Foundation is looking for a creative and detail-oriented Program Coordinator is responsible for supporting the planning, implementation, coordination, and monitoring of programmes and projects to ensure they are delivered effectively, on time, and within budget. The role works closely with internal teams, partners, donors, government stakeholders, and community representatives to facilitate smooth programme operations, maintain accurate documentation, track progress against objectives, and ensure compliance with organisational and donor requirements. The Program Coordinator also contributes to reporting, stakeholder engagement, capacity-building activities, and continuous improvement initiatives, helping to maximise programme impact and achieve the organisation's mission.
Key Responsibilities
Programme Planning & Coordination
· Coordinate the planning, implementation, and execution of programmes and projects in line with organisational goals and donor requirements.
· Develop and maintain programme work plans, timelines, and activity schedules to ensure timely delivery.
· Coordinate with internal departments and external stakeholders to facilitate seamless programme implementation.
· Ensure programme activities are conducted in accordance with approved plans, budgets, and organisational policies.
Project Implementation & Monitoring
· Monitor programme progress against objectives, deliverables, and key performance indicators (KPIs).
· Track project milestones, identify implementation challenges, and recommend corrective actions.
· Conduct regular field visits to monitor activities, verify outputs, and provide implementation support where required.
· Maintain programme tracking tools and ensure accurate documentation of project activities.
Stakeholder Engagement & Partnership Management
· Build and maintain effective relationships with government agencies, donors, partners, consultants, vendors, and community stakeholders.
· Coordinate meetings, workshops, consultations, and stakeholder engagement activities.
· Represent the organisation in programme-related meetings and provide updates on implementation progress when required.
· Facilitate communication between programme teams and external partners to ensure alignment and collaboration.
Reporting & Documentation
· Prepare periodic programme reports, progress updates, meeting minutes, and donor reports.
· Maintain comprehensive programme documentation, including project files, contracts, correspondence, and activity records.
· Collect, compile, and analyse programme data to support reporting and decision-making.
· Ensure timely submission of reports in compliance with organisational and donor requirements.
Budget & Resource Coordination
· Assist in preparing programme budgets and monitoring expenditure against approved budgets.
· Coordinate procurement requests and logistical arrangements for programme activities.
· Monitor resource utilisation and support cost-effective programme implementation.
· Work closely with finance and procurement teams to ensure compliance with financial policies.
Qualifications
· Bachelor's degree in Social Work, Development Studies, Public Administration, Project Management, Business Administration, Rural Development, Sociology, Political Science, or a related field. A master's degree is an added advantage.
· Freshers or candidates with up to 1 year of experience are encouraged to apply.
