Job Description – Payroll Processing Executive
Job Purpose
To ensure accurate and timely processing of payroll for assigned clients/employees while ensuring compliance with applicable labour laws, tax regulations, and statutory requirements. The role involves end-to-end payroll processing, statutory compliance, client coordination, and maintenance of payroll records.
Key Responsibilities
Payroll Processing
- Process monthly payroll for assigned clients/entities within agreed timelines.
- Verify employee master data, salary structures, attendance, leave, overtime, incentives, reimbursements, bonuses, recoveries, and full & final settlements.
- Calculate salaries, deductions, arrears, incentives, leave encashment, gratuity, and other payroll components.
- Generate payroll registers, payslips, bank transfer statements, and payroll reports.
- Ensure payroll accuracy before salary disbursement.
Statutory Compliance
- Process statutory deductions including Provident Fund (PF), Employees' State Insurance (ESI), Professional Tax (PT), Labour Welfare Fund (LWF), and Tax Deducted at Source (TDS), as applicable.
- Prepare and file statutory returns within prescribed due dates.
- Reconcile statutory liabilities with payroll records.
- Keep abreast of changes in payroll, labour, and income tax laws.
Employee & Client Coordination
- Respond to employee and client payroll-related queries promptly.
- Coordinate with HR and clients for monthly payroll inputs such as attendance, new joiners, resignations, salary revisions, reimbursements, and declarations.
- Resolve payroll discrepancies and provide necessary clarifications.
Documentation & Record Management
- Maintain employee payroll records and statutory documentation.
- Ensure confidentiality of employee compensation and personal information.
- Maintain payroll working papers and audit trails.
Reconciliations & Reporting
- Reconcile payroll with the general ledger and salary payments.
- Prepare monthly MIS reports and payroll summaries.
- Support statutory audits, internal audits, and compliance reviews by providing required payroll data.
Compliance & Process Improvement
- Ensure adherence to internal controls and standard operating procedures.
- Identify opportunities to improve payroll processes and accuracy.
- Support implementation or migration of payroll software, where required.

Software Knowledge
- Payroll software (GreytHR, Keka, Zoho Payroll, or similar)
- Tally ERP / TallyPrime
- Microsoft Excel (VLOOKUP/XLOOKUP, Pivot Tables, formulas)
- MS Word and Outlook
Educational Qualification
- Bachelor's degree in Commerce, Finance, Accounting, Business Administration, or related field.
Experience
- 2–5 years: Payroll Executive
- Experience in payroll outsourcing or payroll processing for multiple entities will be preferred.
Key Performance Indicators (KPIs)
- Payroll processed accurately and on time.
- Zero or minimal payroll errors.
- Timely filing of all statutory returns.
- Compliance with payroll timelines and service level agreements (SLAs).
- Prompt resolution of employee/client queries.
- Accuracy of payroll reconciliations and statutory payments.
- Positive client and employee satisfaction.
Pay: ₹25,000.00 - ₹33,333.00 per month
