Job Summary
We are looking for a dynamic, multitasking, and proactive Admin Executive to manage day-to-day administrative operations at the Head Office. The candidate should possess excellent communication skills, strong organizational abilities, and the capability to coordinate effectively with vendors, warehouse teams, consultants, clients, and government officials while ensuring smooth office administration.
Key Responsibilities Office Administration
- Manage day-to-day office administration activities.
- Ensure smooth functioning of the Head Office.
- Maintain office discipline and administrative records.
- Coordinate with warehouse teams for administrative support.
Vendor & Client Coordination
- Handle vendor queries and coordinate with suppliers.
- Resolve warehouse staff queries related to administration.
- Handle client queries professionally and ensure timely resolution.
- Communicate and coordinate with consultants and external agencies.
Employee Administration
- Maintain employee attendance, leave, loan, and other administrative records.
- Resolve employee administrative complaints and grievances.
- Support implementation and communication of HR/Admin policies.
- Maintain employee files and documentation.
Compliance & Liaison
- Coordinate with various government departments and officials for statutory and administrative compliance.
- Maintain necessary compliance records and documentation.
Asset & Facility Management
- Maintain and update the company's Asset Register.
- Monitor office assets and ensure proper record keeping.
- Manage office maintenance and facility requirements.
Office Expense Management
- Manage office stationery procurement and inventory.
- Monitor communication expenses (Mobile, Internet, Courier, etc.).
- Handle Petty Cash and maintain proper records.
- Monitor administrative costs and implement cost-control measures.
- Prepare administrative MIS and expense reports.
General Administration
- Coordinate office housekeeping and maintenance activities.
- Support management with administrative reports and documentation.
- Perform any other administrative responsibilities assigned by management.
Required Qualification & SkillsQualification
- Bachelor's Degree in any discipline.
Experience
- Minimum 2+ years of experience in Administration.
Technical Skills
- Advanced Microsoft Excel.
- Good knowledge of MS Office (Word, Excel, Outlook, PowerPoint).
- Basic knowledge of administrative documentation and record management.
Communication Skills
- Excellent English writing and reading skills.
- Good verbal communication skills.
- Ability to communicate in Hindi, English, and the local language.
- Soft-spoken with a professional attitude.
