ROLE OVERVIEW
As a Project Manager, you will be responsible for leading end-to-end project execution from initiation through delivery and closure, ensuring alignment with scope, timelines, cost, and quality requirements. You will coordinate cross-functional teams, manage project documentation, and ensure effective communication between internal stakeholders and external customers. The role includes overseeing project planning, contract and order management, change control, milestone tracking, and system data maintenance, while ensuring smooth execution of customer interactions such as trials, testing, and project meetings. You will play a key role in driving operational efficiency, maintaining governance standards, and ensuring successful and timely project delivery.
KEY RESPONSIBILITIES but not limited to:
· Prepare project documentation during project kickoff and initiation phases
· Prepare quotations for projects based on technical and functional specifications
· Review and convert quotations from different formats into standardized project layout templates
· Coordinate end-to-end project execution from planning to delivery
· Support order processing activities including project documentation preparation at kickoff
· Coordinate acceptance testing invitations and related stakeholder communications
· Review commercial and contractual documents for projects
· Prepare order confirmations, advance payment invoices, bank guarantees, and commission-related documentation
· Manage distribution and communication of project/order changes
· Create, monitor, and track complementary project follow-up deliveries
· Set up, maintain, and archive project records in document management systems
· Maintain CRM or equivalent systems with updated project and customer data
· Organize customer visits for trials, pre-acceptance tests, and project meetings
· Prepare invitation letters for international customers and stakeholders
· Coordinate logistics including hotel bookings, travel arrangements, taxi pickups, rental cars, and support schedules
· Manage customer hospitality arrangements such as per diem payments, gifts, and on-site support
· Assign project numbers for trials and ensure proper tracking of confirmations and invoices
· Enter and maintain all project-related data in enterprise systems (e.g., SAP or equivalent platforms)
· Maintain master data for customer and sales/project views
· Create and manage customer accounts in system databases
· Prepare credit memos and invoices as required
· Raise purchase requisitions for project-related needs
· Ensure preparation and issuance of delivery notes
· Prepare customer evaluation or feedback comments and reports
· Prepare and manage non-disclosure agreements and ensure proper archiving
· Coordinate translation requirements through external agencies
· Manage and distribute email communication from stakeholders and project teams
· Provide administrative support including handling calls in absence of project managers
· Support interns and apprentices in project-related activities
· Maintain customer and project data in CRM/Sales Cloud or equivalent systems
· Perform optional key user functions in ERP systems for data maintenance and support
· Ensure proper documentation, compliance, and archiving of all project-related records
REQUIRED SKILLS & COMPETENCIES

· Ability to manage multiple tasks and prioritize effectively
· Strong documentation and organizational skills
· Understanding of project lifecycle and delivery processes
· Experience in handling cross-functional coordination
· Proficiency in MS Office tools (Excel, Word, PowerPoint)
· Familiarity with enterprise project or ERP systems (e.g., SAP or equivalent)
· Strong problem-solving and analytical thinking ability
· Attention to detail and process adherence
· Ability to work under pressure and meet deadlines
· Customer-focused mindset with service orientation
QUALIFICATIONS
- MBA/PGDM in HR or related field preferred.
- Bachelor’s degree in Engineering, Business Administration, Operations Management, or related field
- 3–8 years of experience in project management, operations, or coordination roles
- Experience in handling technical or engineering project environments preferred
- Exposure to enterprise systems for project tracking and documentation is an advantage
- Certification in Project Management (PMP / PRINCE2 / equivalent) is a plus (optional but preferred)
