About the Role
We're seeking a highly organised, proactive, and mission-aligned Executive Assistant to serve as a strategic partner to our CEO. This is a senior-level role at the heart of our operations — requiring sound judgment, discretion, and the ability to manage a complex stakeholder environment across board members, donors, partners, and staff.
Key Responsibilities
1. Executive Support
- Provide comprehensive administrative support to the CEO, including calendar management, scheduling meetings, and coordinating travel arrangements.
- Assist with preparation for meetings by drafting agendas, taking minutes, and ensuring timely follow-up on action items.
- Manage the CEO's correspondence, filtering and prioritizing emails, phone calls, and requests.
2. Project Management & Special Initiatives
- Assist with special projects and initiatives as directed by the CEO, ensuring deadlines are met and all tasks are completed efficiently.
- Conduct research and prepare reports and presentations as needed for the CEO's engagements, board meetings, and strategic initiatives.
3. Meeting & Event Coordination
- Organize and coordinate meetings, events, conferences, and speaking engagements for the CEO, including logistics, materials, and follow-up.
- Coordinate board meetings and other important internal events, ensuring all details are meticulously handled.
4. Communication & Liaison
- Act as the primary point of contact between the CEO and internal/external stakeholders, including board members, donors, staff, and partners.
- Draft, edit, and send communications on behalf of the CEO, ensuring a high standard of professionalism.
- Ensure that key messages and priorities of the CEO are communicated effectively across the organization.
5. Confidentiality & Discretion
- Handle sensitive and confidential information with professionalism and discretion.
- Maintain confidential files and records with strict attention to detail.
6. Administrative Support
- Prepare and proofread documents, reports, presentations, and other materials for the CEO.
- Ensure smooth day-to-day operations of the CEO's office, anticipating needs and providing proactive solutions.
7. Time Management & Prioritisation
- Help the CEO manage time effectively by handling scheduling conflicts and providing reminders for important tasks and appointments.
- Stay ahead of the CEO's priorities and ensure focus remains on mission-critical activities.

- Tech Proficiency - Microsoft Office Suite, Google Workspace, Zoom, Slack, and similar tools
- Attention to Detail - meticulous accuracy across documents, schedules, and communications
- Mission Alignment - genuine commitment to nonprofit values and representing the organisation with integrity
What We're Looking For
- Bachelor's degree or equivalent; nonprofit background preferred
- 5 - 7+ years in a senior EA or executive support role, ideally in the nonprofit/social sector
- Exceptional written and verbal communication skills
- Proven ability to work independently with minimal supervision

Pay: ₹60,000.00 - ₹80,000.00 per month
