The Office Assistant provides comprehensive administrative, clerical, and reception support to the department or college, managing student records, coordinating schedules, and maintaining a welcoming, organized office environment. [1, 2]
Key Responsibilities
- Reception & Communication: Act as the first point of contact, greeting visitors, answering phone calls, and managing email correspondence professionally.
- Administrative Support: Draft letters, reports, and memos; manage faculty travel arrangements; and distribute mail/packages.
- Records Management: Create and maintain accurate student files, data records, and inventory logs, ensuring compliance with privacy policies like FERPA.
- Scheduling & Scheduling: Coordinate calendars, schedule meetings, and reserve meeting spaces.
- Data Entry & Reporting: Perform data entry into college databases (e.g., TargetX, student information systems) to update student status, attendance, or grades.
- Office Maintenance: Monitor office supply inventory and report malfunctions of equipment like printers and copiers.
- Committee Support: Assist with administrative tasks for academic committees or events. [1, 2, 3, 4, 5, 6, 7, 8]
Required Skills & Qualifications
- Education: Typically requires a high school diploma or equivalent; Bachelor’s degree preferred.
- Computer Skills: Proficiency in MS Office Suite (Word, Excel, Outlook) or Google Workspace.

- Organization: Excellent attention to detail and ability to prioritize multiple tasks.
