The Assistant Facility Manager (Soft Services) is responsible for overseeing and managing all soft service operations within the facility to ensure a safe, clean, hygienic, and professional environment. The role includes supervision of housekeeping, pest control, landscaping, waste management, hygiene services, and vendor management while ensuring compliance with company standards, service level agreements (SLAs), and client requirements.
Key ResponsibilitiesSoft Services Operations
- Manage daily housekeeping operations across the facility.
- Ensure cleanliness and hygiene standards are maintained in all common areas, offices, washrooms, cafeterias, and external surroundings.
- Monitor and supervise pest control, landscaping, waste management, and sanitation activities.
- Conduct routine inspections and audits to ensure quality service delivery.
Vendor Management
- Manage and coordinate with housekeeping and other soft service vendors.
- Monitor vendor performance against agreed KPIs and SLAs.
- Verify vendor attendance, deployment, grooming standards, and productivity.
- Review and certify vendor invoices as per contract terms.
Team Management
- Supervise housekeeping supervisors and frontline staff.
- Prepare duty rosters, attendance records, and manpower allocation plans.
- Conduct employee briefings and training sessions on safety, hygiene, and service excellence.
- Ensure proper disciplinary and grievance handling procedures are followed.
Client Relationship Management
- Act as the point of contact for client queries related to soft services.
- Ensure timely closure of service requests and complaints.
- Conduct regular client meetings and share service performance reports.
- Maintain high levels of client satisfaction.
Quality, Health & Safety
- Ensure compliance with health, safety, and environmental regulations.
- Conduct regular safety inspections and report hazards.
- Maintain records related to audits, incidents, and corrective actions.
- Ensure proper usage and storage of chemicals and cleaning equipment.
Reporting & Documentation
- Prepare daily, weekly, and monthly operational reports.
- Maintain housekeeping checklists, inspection reports, and audit records.
- Track consumables inventory and ensure optimum stock levels.
- Support budget control and cost optimization initiatives.
