ABOUT THE ROLE
This is an execution role. You will be the connective tissue that keeps the team moving — tracking what is open, chasing what is overdue, managing the hiring pipeline, processing meeting notes, and making sure nothing falls through the cracks.

The ceiling is high. The right person grows into a Chief of Staff over time. But that is earned, not given — we are hiring for what you can do on day one.
WHAT YOU WILL OWN
Hiring pipeline
- Track every open role, every candidate, every stage — updated daily
- Schedule interviews, send confirmations, follow up with candidates
- Coordinate with hiring managers to keep decisions moving
- Send offer letters and onboarding packs once decisions are made
- Produce a weekly pipeline snapshot so leadership always knows the current state
- Team follow-through
- Own the action item register from every internal meeting and client call
- Chase owners who are overdue — without being asked
- Surface blockers before they become delays
- Know at any given moment: who needs what from whom, and what is stuck
Meeting operations
- Take structured meeting notes or process AI-generated transcripts
- Produce a clean summary with decisions, action items, and owners within two hours of every meeting
- Distribute updates to relevant people — they should not need to ask
- Maintain a running decision log
Cross-team coordination
- Manage handoffs between Sales, Delivery, and Engineering
- Flag when a dependency is at risk
- Keep the founder's time protected by triaging what genuinely needs him vs. what can be resolved without him
- Own onboarding logistics for new hires: tools, access, 30-day scorecard setup
General ops
- Manage subscriptions, tools, and vendor accounts
- Draft internal communications, team updates, and process documentation
- Produce internal reports and trackers
- Anything else that keeps the machine running — this role is not a narrow one
MUST-HAVES
- Obsessive about follow-through. You do not let things fall through the cracks. Ever.
- Strong written English. Your messages are clear and get replies.
- Comfortable using AI tools daily (Claude, ChatGPT, Notion AI, or similar)
- Experience inside a small, fast-moving team
- Extremely well organized — you maintain trackers and logs without being reminded
- Proactive communicator — you tell people what is happening before they have to ask
NICE-TO-HAVES
- Experience in a tech, SaaS, or agency environment
- Familiarity with Notion, Slack, and Google Workspace
- Some exposure to hiring operations or talent coordination
This is also not a light-touch virtual assistant role. You will be embedded in the team with full visibility into active projects, live client engagements, and hiring decisions. We need someone who takes that seriously.

Location: Remote, India-based (Pune, Nagpur, Bangalore, or Delhi NCR preferred)
Timezone: IST — core overlap window 11:30am–8:30pm IST on weekdays
Start date: Immediate
