We are seeking a highly organized, proactive, and trustworthy Executive Assistant to provide comprehensive administrative, operational, and personal support to senior leadership. The ideal candidate will be responsible for managing schedules, coordinating meetings and travel, handling confidential information, supporting projects, and ensuring the smooth functioning of both professional and personal commitments of the executive.
Key Responsibilities
1. Executive & Administrative Support
● Manage and maintain executive calendars, appointments, meetings, and travel schedules. ● Prepare, review, and edit correspondence, reports, presentations, and business documents.
● Handle incoming and outgoing communications, including emails, phone calls, and mail.
● Organize and prioritize critical information to support efficient decision-making.
● Maintain records, files, and confidential documents.
2. Meeting & Coordination Management
● Schedule and coordinate internal and external meetings.
● Prepare meeting agendas, presentations, and supporting documents.
● Record meeting minutes (MOM) and track follow-up actions.
● Ensure executives are adequately prepared for meetings and business engagements.
3. Travel & Event Management
● Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
● Coordinate company events, conferences, client meetings, and off-site gatherings.
● Manage travel-related documentation and expense tracking.
4. Communication & Stakeholder Management
● Serve as the primary point of contact between executives, employees, clients, vendors, and external partners.
● Screen and prioritize communications and inquiries.
● Build and maintain professional relationships on behalf of the executive.
5. Project & Business Support
● Assist in special projects, research activities, data compilation, and report preparation.
● Monitor project timelines and ensure deadlines are met.
● Coordinate with cross-functional teams to achieve project objectives.
● Track action items and ensure timely completion.
6. Confidentiality & Professionalism
● Handle sensitive business and personal information with strict confidentiality.
● Maintain professionalism, integrity, and discretion in all interactions.
7. Office Administration
● Oversee office supplies, equipment, and administrative requirements.
● Coordinate with vendors, service providers, and external agencies.
● Assist with budget tracking, expense management, and administrative reporting.
8. Personal Assistance to Executive & Family
● Manage personal schedules, appointments, and family-related commitments.
● Coordinate travel arrangements and vacation planning for executives and family members.
● Assist with household coordination, including service providers and maintenance requirements.
● Support bill payments, expense tracking, and financial documentation.
● Arrange personal shopping, gift purchases, and special occasions.
● Coordinate social events, invitations, and personal correspondence.
● Manage vehicle maintenance, servicing, and insurance renewals.
● Provide logistical and scheduling support for family activities.
Pay: ₹30,000.00 - ₹50,000.00 per month
