Job Overview
We are looking for a professional and detail-oriented Executive Assistant to Director who can efficiently manage executive schedules, business communications, documentation, and administrative functions. The ideal candidate should possess exceptional organizational skills, strong business acumen, and the ability to handle multiple priorities while maintaining the highest level of confidentiality and professionalism.
Key Responsibilities
- Manage the Director’s calendar, appointments, meetings, and travel schedules.
- Coordinate and schedule internal and external meetings, conferences, and business engagements.
- Prepare meeting agendas, record Minutes of Meetings (MOM), and track action items for timely completion.
- Handle email correspondence, official communications, and documentation on behalf of the Director.
- Prepare reports, presentations, MIS reports, business summaries, and executive dashboards.
- Coordinate domestic and international travel arrangements, including flight bookings, hotel reservations, visas, and itineraries.
- Maintain confidential records, contracts, agreements, and important business documents.
- Liaise with clients, vendors, government authorities, and internal departments on behalf of management.
- Monitor and follow up on key projects, business activities, and management directives.
- Support office administration, facility management, procurement coordination, and inventory monitoring.
- Assist in business planning, data management, and operational coordination.
- Ensure effective communication flow between management and various departments.
Required Skills & Competencies
- Strong proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational, planning, and multitasking abilities.
- Ability to prioritize tasks and manage deadlines effectively.
- High level of professionalism, discretion, and confidentiality.

Qualifications & Experience
- Bachelor's Degree in Commerce, Business Administration, Management, or a related discipline.
- Minimum 2–3 years of experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or Administrative Executive.
- Experience supporting senior management or directors is highly preferred.
- Knowledge of office administration, documentation, and business correspondence.
- Experience in manufacturing, trading, or industrial sectors will be an added advantage.
