Job Description
We are looking for a highly organised, dependable, and proactive Executive Assistant to work directly with the Managing Director.
This is an execution and follow-up–focused role. The candidate will act as the Managing Director’s point of coordination, assign tasks to employees on their behalf, obtain completion commitments, and follow up until every task is completed.
The ideal candidate must be persistent with follow-ups, comfortable coordinating with employees at all levels, and capable of handling routine business and administrative responsibilities independently.
Key Responsibilities
- Maintain a daily tracker of all tasks assigned by the Managing Director.
- Communicate instructions to employees and departments on the MD’s behalf.
- Obtain a committed completion date and time for every task.
- Follow up continuously until assigned work is completed.
- Track pending, completed, delayed, and escalated tasks.
- Provide the MD with concise daily progress reports.
- Coordinate with sales, accounts, logistics, service, warehouse, administration, and other departments.
- Follow up firmly and professionally with junior and senior employees.
- Manage meetings, appointments, reminders, calls, emails, and WhatsApp communication.
- Draft professional emails, letters, reports, and meeting notes.
- Prepare and maintain Excel trackers, MIS reports, and documents.
- Conduct online research and organise the information for the MD.
- Coordinate with customers, vendors, transporters, and service providers when required.
- Handle travel arrangements, bookings, purchases, and routine administrative work.
- Assist with reasonable personal coordination tasks for the MD.
- Maintain complete confidentiality regarding company and personal information.
- Escalate delays, non-responsiveness, and important issues promptly.
Candidate Requirements
- 3–5 years of experience as an Executive Assistant, Personal Assistant, Secretary, Office Coordinator, or Administrative Coordinator.
- Experience assisting an MD, business owner, CEO, or senior executive is preferred.
- Graduate in any discipline.
- Secretarial practice or office administration qualification is preferred.
- Exceptional follow-up and task-management skills—this is the most important requirement.
- Good command of written and spoken English and Hindi.
- Working knowledge of Microsoft Excel, Word, email, and internet research.
- Knowledge of Pivot Tables, VLOOKUP/XLOOKUP, formulas, filters, and linking worksheets is preferred.
- Shorthand knowledge will be an advantage.
- Strong organisational, documentation, and communication skills.
- Must be honest, reliable, disciplined, and detail-oriented.
- Should be confident in following up with employees at all levels.
- Must be able to handle multiple tasks without missing deadlines.
- Stable employment history is strongly preferred.
- Must be able to commute reliably to the office.
Ideal Candidate

The person should be assertive yet respectful and capable of reducing the Managing Director’s involvement in routine coordination and administrative work.
