Responsibilities of a Purchase Assistant
1. Purchase Order Management
- Prepare and issue purchase orders to suppliers
- Verify order details (quantity, price, specifications)
- Track and follow up on pending orders
2. Supplier Coordination
- Communicate with vendors regarding pricing, delivery, and product details
- Obtain quotations and compare prices
- Maintain good relationships with existing suppliers
- Assist in sourcing new vendors
3. Documentation & Record Keeping
- Maintain accurate purchase records and invoices
- Update procurement databases and ERP systems
- File contracts, agreements, and supplier documents
4. Inventory Support
- Monitor stock levels
- Coordinate with warehouse/store department
- Help prevent shortages or overstock situations
5. Cost Control & Budget Support
- Assist in price comparison and cost analysis
- Ensure purchases stay within budget
- Help negotiate basic pricing and payment terms
6. Compliance & Policy Adherence
- Ensure purchases follow company policies
- Verify delivery matches purchase order and invoice
- Support audits by providing required documents
7. Reporting
- Prepare purchase reports
- Update management on order status
- Maintain vendor performance records
