Client Servicing Intern
Objective
The Client Servicing Intern will support the Client Servicing team in managing client communication, event coordination, showflow execution, artist coordination, and project tracking. This role is designed to provide hands-on exposure to the event management industry by allowing interns to actively participate in planning and executing events while learning the complete client servicing process from inquiry to event completion.
The intern will be assigned small-scale projects and event responsibilities under supervision to develop practical skills in client handling, coordination, event execution, and stakeholder management.
Key Responsibilities1. Client Coordination & Support
- Assist in communicating with clients regarding updates, requirements, approvals, and follow-ups.
- Maintain client records, event requirements, meeting notes, and feedback documentation.
- Support senior team members in ensuring a positive client experience throughout the event lifecycle.
- Assist in understanding client expectations, preferences, and event objectives.
- Follow up with clients for pending approvals, documents, and information.
- Handle assigned small-scale events or clients independently under supervision as part of the learning process.
2. Internal Coordination
- Coordinate with Production, Design, Operations, Logistics, and Project teams to ensure smooth information flow.
- Follow up on task completion and project timelines.
- Assist in communicating client requirements to internal teams.
- Support daily coordination activities across departments.
- Escalate delays or issues to reporting managers when required.
- Ensure all stakeholders are updated regarding project progress.
3. Event Planning Assistance
- Attend brainstorming sessions and contribute ideas based on client briefs.
- Assist in preparing presentations, mood boards, and project proposals.
- Support event planning activities and project preparations.
- Participate in venue visits, recce meetings, vendor meetings, and planning discussions.
- Assist in maintaining project checklists and event trackers.
- Support event setup, execution, and closure activities.
4. Showflow Management & Event Execution
- Assist in preparing event showflows, run sheets, and event agendas.
- Coordinate with internal teams to gather timelines and execution requirements.
- Manage assigned event segments and activities under supervision.
- Support on-ground execution and ensure activities are conducted according to the approved showflow.
- Communicate showflow changes to relevant stakeholders during event execution.
- Monitor timelines and report deviations to senior team members.
- Assist in handling last-minute operational changes during events.
5. Artist & Entertainment Coordination
- Assist in coordinating with artists, performers, emcees, influencers, and talent managers.
- Maintain artist information, performance schedules, and requirement sheets.
- Collect artist technical riders, hospitality requirements, and logistical needs.
- Coordinate artist reporting times, rehearsals, and performance schedules.
- Support backstage management and artist hospitality during events.
- Ensure artist requirements are communicated effectively to Production and Operations teams.
- Assist in managing artist movement and event-day coordination.
6. Venue & Vendor Coordination
- Coordinate with vendors and venue representatives regarding event requirements.
- Assist in obtaining quotations, documents, and required information.
- Support site visits and venue inspections.
- Follow up on vendor deliverables and event commitments.
- Maintain vendor and venue databases.
7. Documentation & Reporting
- Prepare MOMs (Minutes of Meeting) and circulate them to stakeholders.
- Maintain project files, client records, trackers, and event documentation.
- Update CRM systems and project management trackers.
- Organize approvals, quotations, contracts, and project-related documents.
- Support weekly and monthly reporting activities.
- Maintain accurate records of all project communications and updates.
8. Administrative Support
- Maintain and update client servicing trackers and databases.
- Organize project folders, communication records, and event documentation.
- Assist in preparing invoices, approvals, and project-related paperwork.
- Support data management and reporting requirements.
- Perform additional administrative and coordination tasks assigned by management.

Stipend- 5,000 – 10,000 per month(Based on communication skills, educational background, and performance.)
