Job Summary:
Incheon Kia is seeking a proactive and organized Admin Executive/Admin Officer to manage the day-to-day administrative operations of our dealership. The ideal candidate will ensure smooth branch administration by coordinating office facilities, vendor management, documentation, and operational support for the sales & service departments.
Key Responsibilities:
- Manage day-to-day administrative operations of the dealership.
- Coordinate branch administration activities and ensure smooth office functioning.
- Maintain office cleanliness and supervise housekeeping services.
- Coordinate maintenance of office equipment, facilities, and utilities such as electricity, water, internet, and telephone services.
- Handle staff accommodation, transportation, and office support where applicable.
- Maintain records of licenses, contracts, insurance, statutory documents, and facility-related records.
- Manage office supplies, stationery, and inventory.
- Coordinate with vendors for repairs, maintenance, and other administrative services.
- Process purchase requests and verify vendor invoices and bills.
- Handle courier services, dispatch, and incoming/outgoing correspondence.
- Support showroom and workshop operational requirements.
- Assist the Sales, Service, and Accounts departments with administrative requirements.
- Monitor security systems and coordinate with security personnel.
- Prepare administrative reports and ensure timely completion of assigned tasks.
- Ensure compliance with company policies and administrative procedures.
Qualifications:
- Bachelor's degree in Business Administration or a related field.
- Minimum 1 year of experience in administration, office management, or facility coordination.
- Experience in an automobile dealership or a similar industry will be an added advantage.
Required Skills:
- Strong organizational and time management skills.
- Good communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- Ability to coordinate with multiple departments and external vendors.
- Basic knowledge of office administration, facility management, and documentation.
- Ability to work independently and handle multiple tasks efficiently.
Pay: ₹15,000.00 - ₹22,000.00 per month
