Key Roles & Responsibilities
Communication Management
- Answer, screen, and forward incoming phone calls using a multi-line system.
- Take accurate messages and route them to the appropriate employee or department.
- Manage the general office email inbox, responding to inquiries professionally.
Visitor & Guest Relations
- Greet and welcome clients, guests, and vendors warmly as soon as they arrive.
- Direct visitors to the correct person, department, or meeting room.
- Maintain office security by keeping a visitor logbook and issuing access badges.
Office Administration
- Sort and distribute daily mail, packages, and couriers.
- Schedule appointments and update digital calendars for the team.
- Keep the reception area tidy, presentable, and stocked with necessary materials.
- Monitor office supply inventory and place orders when stocks run low.
- Perform clerical tasks such as filing, photocopying, scanning, and data entry.
Core Skills & Requirements
- Communication: Excellent verbal and written communication skills with a polite tone.
- Multitasking: Ability to manage multiple phone lines and walk-in visitors simultaneously.
- Tech-Savvy: Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and front-desk software.
- Interpersonal Skills: A professional appearance, positive attitude, and strong customer service focus.
- Education: Minimum of a high school diploma or equivalent; an associate or bachelor's degree is a plus.
Industry-Specific VariationsWhile the core duties remain the same, a receptionist's day-to-day focus shifts depending on where they work:
- Corporate: Focuses on meeting room scheduling, corporate travel arrangements, and high-profile client handling.
- Medical / Healthcare: Focuses on verifying patient insurance information, scheduling clinic visits, and handling confidential medical records.
- Hotel / Hospitality: Doubles as a concierge, managing guest check-ins, check-outs, and booking transportation.
Pay: ₹12,000.00 - ₹18,000.00 per month
