Correspondence Specialist – Revenue Cycle
Job Summary
The Correspondence Specialist manages inbound and outbound written communication related to billing, denials, appeals, refund requests, and payer inquiries. This role ensures timely, accurate responses to insurance companies, patients, and regulatory agencies while maintaining HIPAA compliance.
Qualifications
- 2–3 years in hospital billing/denial management
- Strong written communication skills
- Knowledge of Medicare appeal levels and payer dispute processes
- Familiarity with CARC/RARC codes
Key Responsibilities
Inbound Correspondence Management
- Review and categorize incoming mail:
- Denial letters
- Medical record requests
- Refund requests
- Additional Documentation Requests (ADR)
- Appeal determinations
- Log and route correspondence to appropriate team (AR, Denials, Refunds).
Outbound Correspondence
- Draft and send:
- Appeal letters
- Medical record submissions
- Reconsideration requests
- Timely filing dispute letters
- Ensure documentation supports payer policies and CMS guidelines.
Medical Record Coordination
- Coordinate with HIM department for record retrieval.
- Ensure records are submitted within payer deadlines.
- Track submission confirmation.
Payer Communication
- Respond to payer audits and document requests.
- Monitor appeal deadlines and follow-up timelines.
- Track appeal outcomes and update billing system.
Documentation & Tracking
- Maintain correspondence log with:
- Date received
- Deadline
- Assigned owner
- Status
- Ensure SLA compliance.
