We are looking for a motivated and enthusiastic HR & Administration Intern to join our Human Resources team in Mangalore. This internship is a great opportunity for freshers to gain practical, hands-on experience in recruitment, HR operations, employee documentation, onboarding, attendance, leave management, employee engagement, and office administration.
The intern will work closely with the HR team and receive guidance and training on various HR processes. The role will also provide exposure to administrative coordination, including reviewing admin checklists, coordinating with admin staff and vendors, maintaining records, and supporting day-to-day office requirements.
Key Responsibilities – HR
Assist in collecting Job Descriptions and understanding hiring requirements from respective departments.
Support the HR team in preparing job postings and publishing vacancies on relevant recruitment platforms.
Learn to source candidates through Naukri, LinkedIn, ATS, employee referrals, and other channels.
Conduct initial candidate calls and basic HR screening, with guidance from the HR team.
Maintain candidate details and update recruitment trackers.
Coordinate interview schedules with candidates and interview panels.
Follow up with candidates throughout the recruitment process.
Assist in the pre-boarding and onboarding process for new employees and interns.
Collect and verify required joining documents.
Assist in preparing HR documentation.
Support HR in conducting employee induction and explaining basic HR policies and procedures.
Maintain and organize employee files and HR records.
Update employee information in HRMS.
Assist in monitoring employee attendance and leave records.
Support preparation of leave and payroll-related reports.
Assist in organizing employee engagement activities, celebrations, events, and team activities.
Support the HR team in maintaining event-related records and expenses.
Provide general administrative support to the HR team as required.
Assist in the employee exit and offboarding process.
Support collection and maintenance of exit-related documents.
Assist in updating employee records during employee separation.
Support the HR team in maintaining employee and ex-employee records.
Key Responsibilities – Administration Oversight & Coordination
Review the daily/weekly admin checklist to check that admin tasks (housekeeping, office supplies, facility upkeep, courier/dispatch, etc.) are being completed as expected, and flag any gaps to the reporting manager.
Coordinate with the admin staff on day-to-day requirements such as office supplies, stationery, pantry items, and vendor follow-ups.
Help track completion of admin tasks against the checklist and maintain simple records of what has been done and what is pending.
Assist in coordinating logistics for meetings, company events, and visitor arrangements (seating, refreshments, materials, etc.).
Support maintenance of administrative registers and records, such as attendance registers, visitor logs, asset registers, and stationery/inventory logs.
Coordinate with vendors, service providers, or facility staff for routine maintenance and office upkeep requirements, as needed.
Assist in ensuring that admin-related company policies and procedures are being followed, and escalate any recurring issues to the reporting manager.
Support the HR/Admin team with any ad-hoc coordination required to keep office operations running smoothly.

MBA / PGDM in Human Resources – Freshers preferred.

Working knowledge of HR concepts and processes, and of how office administration is coordinated.

Hands-on familiarity with MS Excel / Google Sheets and MS Office for maintaining trackers, checklists, and records.
