The Front Office Executive is the first point of contact for patients and visitors at Apollo Spectra Hospital, Koramangala. The role involves managing patient registration, appointment scheduling, billing coordination, and ensuring a seamless and courteous front-office experience aligned with hospital service standards.
Key Responsibilities:
- Patient Handling & Registration
- Greet and assist patients and visitors courteously at the reception counter.
- Handle patient registration, admission, and discharge formalities.
- Ensure accuracy in entering patient details in the hospital management system (HMS).
- Appointment & Enquiry Management
- Manage OPD appointments, doctor schedules, and follow-ups.
- Answer incoming calls and provide information about doctors, services, and consultation timings.
- Coordinate with nursing and medical teams for smooth patient flow.
- Billing & Cash Handling
- Generate patient invoices, collect payments, and maintain cash records.
- Reconcile daily billing reports and handover cash to the accounts team as per hospital protocol.
- Customer Service & Communication
- Address patient queries and complaints with empathy and professionalism.
- Maintain a positive and patient-friendly atmosphere in the reception area.
- Escalate unresolved issues to the Front Office Manager.
- Administrative Support
- Maintain records of admissions, discharges, referrals, and other documentation.
- Coordinate with housekeeping, security, and other support departments for operational efficiency.
- Ensure front office area is neat, organized, and compliant with hospital standards.
- Compliance & Confidentiality
- Adhere to hospital policies on data privacy, billing accuracy, and patient confidentiality.
- Follow all NABH and hospital quality protocols for front office operations.
Qualifications & Experience:
- Education: Graduate in any discipline (preferred: BBA / BHM / Hospital Administration).
- Experience: Minimum 1–3 years of experience in hospital front office or patient relations.
- Skills Required:
- Excellent communication and interpersonal skills
- Proficiency in MS Office and Hospital Management Systems (HMS)
- Strong customer service orientation and grooming standards
- Ability to multitask and manage peak patient hours
